Creative Workflow Co‑ordinator
The Creative Workflow co‑ordinator will manage, coordinate and optimise the end‑to‑end delivery workflow across Creative Services. The role ensures resources are allocated effectively, timelines are met, risks are surfaced early and creative output moves through the pipeline smoothly, consistently and compliantly through forward resource planning and work forecasting. The co‑ordinator acts as the operational heartbeat of the team, maintaining control, predictability and delivery discipline.
Key Responsibilities (Strategic & Operational)
* Run and continuously refine the day‑to‑day workflow engine for Creative Services, ensuring all jobs are accurately tracked, triaged and prioritised.
* Allocate Designers and Junior Designers to tasks based on capability, workload, deadlines and complexity, ensuring resources are balanced across competing priorities.
* Lead daily stand‑ups and maintain workflow/task boards, providing full visibility of progress, risks and bottlenecks.
* Monitor work‑in‑progress across all active jobs, ensuring that creative teams have clarity on expectations, deliverables and timelines.
* Identify delivery risks early and coordinate rapid mitigation plans, escalating when needed to the Account Manager or Brand and Creative Lead.
* Maintain and update delivery timelines, ensuring stakeholders are kept informed of changes, blockers and impacts.
* Own operational housekeeping, including file management, version control, naming conventions, folder structures and production checklists.
* Ensure all assets follow the correct approval workflow, including compliance review, evidence capture and audit documentation.
* Support the creation, rollout and improvement of standard operating procedures (SOPs), templates, trackers and workflow guides.
* Analyse delivery metrics such as cycle time, utilisation, throughput and rework, using insights to recommend process improvements.
* Collaborate closely with the Account Manager to plan capacity, manage forecasting and support quarterly/annual operational planning.
* Act as the day‑to‑day point of contact for Creative Services operations, helping stakeholders navigate the delivery process and understand timelines.
Knowledge & Skills
* Strong traffic management and workflow coordination expertise, ideally within creative or marketing environments.
* Background in forecasting and resource planning.
* Excellent organisational skills with high attention to detail, accuracy and structure.
* Ability to manage multiple concurrent workflows, balancing speed with quality.
* Understanding of creative production processes across digital, print, social and motion.
* Proficiency in workflow/project management tools (e.g., Trello, Jira, Asana, Monday.com, or enterprise equivalents).
* Confident communication skills to engage designers, marketers, agencies and compliance reviewers.
* Problem‑solving mindset, with the ability to anticipate bottlenecks and plan ahead.
Experience
* Proven background in creative operations, traffic management, production coordination or similar roles.
* Experience coordinating multi‑disciplinary creative teams in fast‑paced environments.
* Track record of improving workflows, processes or delivery frameworks.
* Experience working with compliance or regulated approval processes is beneficial.
* Experience in workforce planning and forecasting.
