Office & Operations Administrator. We are a busy mechanical services company specialising in HVAC and plumbing services, delivering expert solutions to clients across the UK. As we continue to grow, we are looking for an experienced, dependable, and organised Office & Operations Administrator to join our dynamic team. This role will be the backbone of our office operations—supporting general admin, planning, and health & safety documentation for both our field engineers and management team. Key Responsibilities: * Manage communications with clients, suppliers, and subcontractors via phone and email * Process purchase orders, invoices, and maintain supplier records * Assist with project documentation. Support the preparation, logging, and archiving of health & safety documents, including RAMS, permits, incident reports, and toolbox talk records * Monitor and track compliance records, and engineer training and certification renewals * Keep digital filing systems organised and up to date * Manage business correspondence with discretion and professionalism * Monitor and manage office inventory, including stationery and equipment to ensure smooth office operations * Provide day-to-day administrative support to the wider team * Arrange travel and logistics for managers attending off-site visits and book accommodation for engineers working away from home What we are looking for: * Prior experience in office administration (preferably within mechanical or construction sectors) * Excellent attention to detail and an initiative-taking, organised approach * Proficiency in Microsoft Office Suite (Outlook, Excel, Word essential) * First hand experience and confidence with Xero for day-to-day financial admin tasks (POs, invoicing, reconciliations) * Familiarity with health & safety processes or documentation (desirable but not essential) * A friendly and professional attitude with excellent communication skills and the ability to prioritise tasks in a fast-paced environment * A can-do attitude and a flexible mindset geared toward problem-solving What we offer: * Friendly, supportive team with approachable management * Free on-site parking and modern office facilities * Opportunity to go permanent based on performance * Opportunities for growth and development * 25 days’ holiday plus bank holidays and a company pension scheme (available upon transition to permanent employment)
