Position: Facilities & Maintenance Co-ordinator

Reference: JBacs1797

Location: Saffron Walden

Salary: Dependent on experience

Facilities & Maintenance Co-ordinator

Location: On-site, Essex (commutable distance required)

This is a well-established position within the business, and you'll work independently while collaborating closely with colleagues across all departments and external suppliers. You'll report directly to a senior operations leader and play a key role in keeping the site safe, efficient and well maintained.

Key Responsibilities

Facilities & Building Management

1. Act as the first point of contact for all facilities contractors (cleaning, security, alarms, air conditioning, gardening, electrical, plumbing, waste, utilities, decorating, etc.)

2. Oversee regular and project work to agreed specifications and contracts

3. Carry out basic maintenance and low-level repairs where appropriate (e.g. light fittings, ceiling tiles, door handles, minor decorating)

4. Monitor buildings and carry out preventative checks

5. Manage site access, keys and key holders

Vehicle & Fleet Administration

6. Manage company vehicle fleet administration, including checks, servicing, MOTs, tax and breakdown cover

7. Support the purchase of new vehicles and disposal of old vehicles as required

IT & Telephony Support

8. Work with an external IT support provider to ensure effective first-line IT support

9. Manage IT and mobile phone inventory

10. Organise purchase and setup of laptops, PCs and accessories

11. New starter IT setup and leaver equipment collection

Health & Safety Administration

12. Support day-to-day health & safety systems and processes

13. Coordinate fire alarm and emergency lighting tests

14. Manage contractor H&S documentation

General

15. Provide general support as needed to ensure smooth business operations

16. Occasional out-of-hours attendance may be required for alarms or contractor visits (time off in lieu provided)

Skills & Experience

17. Previous experience in a facilities or maintenance role

18. Hands-on experience with building maintenance and minor repairs

19. Experience managing contractors and suppliers

20. Basic IT knowledge (hardware, software, printers, telephony)
