We’re looking for an Office Manager to join our team in Kings Hill, West Malling.



As an Office Manager at Westfalia Fruit, you will be responsible for ensuring the smooth, professional, and welcoming operation of the Kings Hill office. This role plays a key part in creating an efficient, inclusive, and engaging workplace environment, overseeing day-to-day office operations, facilities management, and front-of-house services while supporting employees, visitors, and stakeholders.



You will combine operational excellence with a strong people focus, managing office space planning, office systems and suppliers, health and safety compliance, and employee experience initiatives. Acting as a central point of contact for the site, you will work closely with IT, HSE, and external partners, support onboarding, lead internal events, and contribute to wellbeing, engagement, and workplace culture across the business.



Responsibilities include:

* Oversee the smooth day-to-day running of the office, creating a professional, efficient, and welcoming workplace environment.
* Lead office space planning, desk allocation, office moves, and manage the hot-desking system (Desk Bird).
* Partner with IT and external suppliers to maintain office infrastructure, equipment, and facilities services.
* Manage procurement, inventory, and the office budget, ensuring cost control and uninterrupted supply of resources.
* Own and continuously improve office policies, procedures, and data security standards.
* Deliver front-of-house operations, including reception management, meeting rooms, visitor experience, and general administration.
* Champion workplace inclusivity, employee experience initiatives, onboarding, and internal events.
* Ensure full compliance with health, safety, and fire regulations, working closely with the UK HSE Manager and coordinating mandatory training.
* Support employee engagement and wellbeing activities, including social, charity, and recognition events across the Kings Hill site.

Requirements

* Proven experience in an Office Manager, Facilities, Workplace, or Front-of-House role.
* Confident in delivering front-of-house and visitor management, ensuring a professional and welcoming environment.
* Highly organised with strong attention to detail and the ability to manage multiple priorities effectively.
* Proficient in Microsoft Word, Excel, and PowerPoint.
* Strong attention to detail for accurate data entry.
* Excellent communication and stakeholder management skills, able to build strong relationships at all levels.
* Proactive and solutions-focused, with the ability to work independently and respond effectively to urgent issues.
