EQUANS is looking for a Technical Administrator working on behalf of our Dudley LIFT contract in Dudley. This role would be a permanent full‑time role working 25 hours per week. On offer is a competitive salary and benefits package.
General Overview
An opportunity has arisen within the Dudley Lift contract and the Oxford lift Portfolio for a Technical Admin post to support the Project Delivery Team. The individual will be responsible for all administration duties associated with the Project Delivery Team. Must be focused on customer care with a “can do” attitude and the flexibility and adaptability to be a team member in a changing business environment.
Fundamental aspects of the role include document control, project reports, commercial and financial data monitoring, procurement and purchasing.
Impact
The successful candidate will be responsible for the day‑to‑day upkeep and monitoring of scheduled works against programme. It will require regular communication with Client representatives and sub‑contractors alongside the pricing and planning of small works and variations.
Monitoring the performance of sub‑contractors will be key to ensuring the success of the works and to enforce EQUANS’s Zero Harm culture. Co‑ordinating invitations, CDM compliance and preparing tenders will also form key objectives.
Complexity
* Provide the overall key administration management to the contract.
* Proficient IT skills; with the ability to use various computer packages confidently, including SAP, Maximo, Excel and Word.
* Provide support where necessary across various DIL/OIL contracts, ensuring relevant documentation and financial information is at hand for customer meetings/reports.
* Distribution of PPM’s to the Maintenance teams and pursue completion of such works.
* Responsible for reviewing the Contract Deliverables Schedule, the Performance Parameter Schedule and generating and reviewing the Helpdesk Report to determine compliance on a monthly basis.
* Maintain adequate records of Planned/Reactive Remedial Works.
* Liaising with suppliers and sub‑contractors, chasing outstanding invoices for completed works.
* Collate programmed maintenance‑related data to inform the development of each Schedule of Programmed Maintenance, each quarterly review and each monthly invoice.
* Preparation of monthly applications, detailing contract spend on breakdown works and extra to contract works.
* Raising of Purchase Orders and ensure invoices are received and Goods Receipting in the appropriate manner using COUPA.
* Work with EQUANS SHEQ team to ensure compliance with all Health and Safety & CDM regulations and obligations and to assist with entering Near Miss, Safety Observations and Accidents on the portal.
* Provide technical support to the CM on technical matters.
* Assist in Project tenders.
* Ability to multi‑task and manage own workload in a growing organisation.
* Manage all OH&S related to Project.
* Produce billing information.
* Approval/payment of suppliers.
* Prepare spreadsheets showing current progress of various processes and spends (Trackers).
* Submission of costs within contract guidelines.
* Any other reasonable duties to support the CM and Ops Manager in delivering the LIFT contracts.
Qualifications or Required Experience
* Establish and maintain good supplier relations to ensure effective delivery and quality of Installations.
* Experience in document control is highly desirable.
* Excellent IT skills with Microsoft applications and other in‑house IT Management systems (Maximo, SAP and Coupa).
* Excellent communication and customer service skills.
* Strong interpersonal, facilitation and presentation skills.
* Demonstrate good time management skills, working to deadlines and adhering to set procedures.
* Be versatile and adaptive.
* Credible experience within a general administrative position.
* Excellent organisational skills.
* Ability to communicate effectively and fluently.
* Full UK Driving License.
* Willingness to learn & develop.
