Company Overview

GetFix Ltd is a leading contractor specialising in Mechanical services, Building Management Systems (BMS) controls, and Commercial Gas solutions. Summary

We are seeking a diligent and organised Accounts and Administration Executive to join our dedicated finance and project support team. This role is crucial in ensuring the accuracy and efficiency of financial processes, as well as supporting various administrative aspects of the business.

Responsibilities

Financial Operations:

* Collaborate with Project Managers and the Service Department to rectify invoice queries

* Process and receipt purchase orders

* Generate and maintain sales reports

* Monitor and manage aged payables and aged receivables

* Assist with resolving complex supplier account issues

* Approve high-value purchase orders in line with company policies

* Track project profit and loss (P&L) performance

* Conduct financial audits using the FSC Dashboard

* Create and issue sales invoices

Client Invoicing and Financial Analysis:

* Generate client invoices on a weekly and monthly basis for projects and service-related work

* Identify projects showing losses and communicate concerns to relevant stakeholders for resolution

* Manage credit control by pursuing outstanding payments from clients and addressing invoice queries

* Collaborate with Project Managers or the Service Department for unresolved queries

Additional Administrative Responsibilities:

* Arranging accreditation renewals annually for SafeContractor, CHAS and ConstructionOnline

* Completion of all PQQ forms for new clients

* Provide administrative support to the Projects team (Electrical and Mechanical)

* Provide support and lead the accounts team

* Support users with BigChange system-related queries and updates

* Provide support to New Starters on their 1st day, including getting the company's ID sorted

* Assist with onboarding new starters, including issuing company ID and ensuring a smooth first-day experience

Requirements

* Accounts/Business background

* Educated to degree level in a relevant field

* Excellent written communication and verbal skills

* Excellent planning and organisational skills

* Be methodical, paying attention to detail and possess problem solving skills

* IT and computer literate

* Able to prioritise workload and use initiative at all times
