Practice Coordinator

At Buckingham Vets for Pets we’re looking for a highly organised individual to join our practice where you’ll be providing a professional and efficient administration service to our clients, delivering a first-class service in customer care.
We’re a busy, small animal practice with a friendly and dedicated team, where every team member is valued, supported, and encouraged to have a real impact on the way we work.
This is a full-time role over 40 hours per week and will include 1 in 4 Saturdays.
This is a varied position combining administration, reception, and social media co-ordination. You’ll be the welcoming face of the practice, supporting our clients and their pets while also helping us share our story online.
Administrative Duties include:
1. Overseeing daily practice operations, including Vet rotas, staff schedules, and all administrative tasks
2. Reports directly to the Joint Venture Partner (JVP).
3. Managing insurance claims and chasing outstanding payments, daily cashing up and banking.
4. Supporting clients, including handling sensitive bereavement cases
5. Maintaining policies, procedures, and SOPs
6. Assisting with compliance, Practice Standards, and KPIs
7. Monitoring absences and conducting return-to-work meetings
8. Managing Vet and Reception Rotas
9. Manage the day-to-day diary.
10. Coordinating diaries, holidays, and locum cover
11. Anchor practice meeting with the (Joint Venture Partner) JVP and sharing team updates
12. Liaising with payroll and banking teams, and managing stock control
13. Supporting CPD activities and managing social media
14. Dealing with staff recruitment.
Reception Duties include:
15. Booking and managing appointments using practice management software
16. Manage the Reception team.
17. Drive the business plans and growth through the pets careplan.
18. Welcoming clients and their pets in a professional and sensitive manner
19. Recording and managing client communications
20. Communicating effectively with both clinical and non-clinical teams
