Overview

Job summary

An exciting opportunity has presented for the recruitment of a Rota Co-ordinator within the Emergency/General Medicine Departments. The post holder will be part of a team responsible for electronic rotas and for the day-to-day co-ordination of medical staffing rota challenges.

The post holder will be required to work closely with the division's medical and operational teams and the broader medical staffing network within the West Suffolk HNS Foundation Trust.

Main duties of the job

* To develop and maintain the Emergency Department/General Medicine for Consultants, SpR's, FY2's & FY1's.
* To ascertain where Locums are required and liaise with Senior Managers and nominated clinician for approval of funding.
* To allocate and record annual leave to the FY1's, FY2's SpR's whilst ensuring service requirements, patient safety are met and maintaining rota compliance.
* To plan, coordinate and maintain all medical rotas ensuring appropriate cover is given for the service needs.
* Ensure that all ward rounds have sufficient staffing.
* To maintain close liaison with junior doctors, consultants and management teams to enable them to provide high quality patient care and safety by efficiently deploying juniors within the Directorate.
* To resolve any day to day situations in a timely manner in order for the service to continue running without hindering patient care. This involves short notice requests such as emergency leave requests, sick leave cover and on-call cover. Escalate any concerns to Senior Managers and nominated clinician.
* To assist in projects and service developments associated with the rota co-ordination.
* To link with HR on rota issues of noncompliance.
* To attend all inductions to discuss how the rota works and the rules regarding applying for leave and who to contact with any issues.

Qualifications

Education and qualifications

* Excel knowledge
* Proven Computer literacy
* 5 GCSEs or equivalent Grade C or above

Experience and knowledge

* Understanding a skill mix required to run a service area
* Customer care experience

Desirable

* Previous NHS or related environment
* Rota management
* Previous experience in using Healthroster
* Previous experience with allocation of staff

Skills and abilities

* Excel for Windows 10
* Accurate keyboard skills
* Able to demonstrate skills that ensure tasks are completed accurately and within a given timeframe
* Attention to detail

Desirable

* Knowledge of the Hospital Administration System
* Understanding of Databases
* Full understanding of Trust Policies regarding leave requests

Personal qualities

* Clear and precise communication skills
* Understanding Trust Policies with regards to requests for leave
* Able to work under pressure
* Able to meet deadlines
* Good interpersonal skills
