Role Overview
As Office Manager, you will play a pivotal role in ensuring the smooth day-to-day operations of our consultancy. You will be responsible for managing administrative functions, supporting project delivery, and fostering a positive and efficient working environment. This role requires excellent organisational skills, a proactive mindset, and a passion for supporting teams that make a difference in the natural world.
About You
We are looking for an experienced Office Manager with:
* Proven experience in office management or administrative roles.
* Strong organisational and multi-tasking abilities.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office and cloud-based systems (e.g., SharePoint, Teams).
* Ability to work independently and as part of a team.
* Experience in an environmental or consultancy setting.
* Familiarity with project management tools.
* Interest in ecology, conservation, or sustainability.
Key Responsibilities
* Office Administration
o Oversee general office operations, including supplies, equipment, and facilities.
o Maintain filing systems (digital and physical) and ensure data confidentiality.
o Manage incoming communications and correspondence.
* Team Support
o Coordinate meetings, travel arrangements, and schedules.
o Support HR functions such as onboarding, training coordination, and record-keeping.
o Assist with timesheets, expense tracking, and payroll.
o Line management of Administrative Assistants and other members of the support team.
* Finance & Procurement
o Credit control - Liaise with finance teams to process invoices and purchase orders, follow up with clients regarding payments.
o Monitor budgets for office-related expenses.
* Health, Safety & Compliance
o Ensure compliance with health and safety regulations.
o Maintain risk assessments and emergency procedures.
* Project Coordination
o Support project teams with administrative tasks, document formatting, and client communications.
o Help track project timelines and deliverables.
Location
This role is based at Brooks Ecological Ltd, Unit A, 1 Station Road, Guiseley, Leeds, LS20 8BX.
* While access to a car is desirable, we encourage cycling to work and are well-connected to local train and public transport services. The ability to collaborate effectively in person and remotely using Teams is essential.
