Job Summary:
Working within the Veterinary Pathology Group, a dynamic veterinary diagnostic pathology company, specialising in the processing and reporting of biopsy specimens submitted by veterinary surgeons. Tissue samples processed within the laboratory are examined by veterinary pathologists and high quality reports are generated, with an emphasis on making an accurate diagnosis and providing the veterinary surgeon with as much useful clinical information as possible. In addition, samples received through the laboratory are used for clinical research studies to further our understanding of animal disease and to benefit veterinary patients. In doing so we are establishing VPG as the UK's premier diagnostic and research-focused veterinary diagnostic laboratory. The postholder will provide administrative support ensuring the delivery of an efficient service to clients within the UK, Europe, Asia and Middle East.
Duties & Responsibilities:
* Scan submission forms, ensure hard and electronic copies filed correctly
* Data entry from paper forms onto LIMS system
* Update case notes/ records as required
* Notifying clients of report delays due to non fixation of samples or samples that will need decalcification as well as inform clients of additional charges
* Ensure deviations/inaccuracies are kept to a minimum and where found, are recorded on LIMS
* Assist pathology co-ordinator to prepare slide scanning and scan slides, and allocate cases to pathologists
* Answering telephone calls - fielding out calls and answering queries appropriately
* Actioning emails and requests such as booking in additional tests, sending samples to third parties for 2nd opinions.
* Resolve internal queries regarding charge codes
* Ensuring pathologists are aware of reports that are being chased - collating paperwork and slides on their behalf if necessary
* Booking couriers for inland and international shipments
* Ordering supplies for clients
* Giving Laboratory and Laboratory Manager and Pathologists administration support as required.
* Collating blocks/slides to send away to clients for case studies, 2nd opinions etc.
* Greeting visitors / Help take in deliveries
* Slide filing - slides to be filed away in archive boxes
* Attend admin and staff meetings
* Where necessary, assist with health and safety and ESG agendas
* Independently contribute to continuous quality improvement, QA/QC (e.g. overhauling processes and writing SOP's)
* Assist with client relations and client management including using Pathport and Hubspot
