Levenshulme Medical Practice is looking for an enthusiastic and hard working individual to join our team to provide support to the Practice Business Manager, Doctors and Health Professionals. This person will ensure the operational systems of the practice are met.


Main duties of the job

To assist the Practice Business Manager in the day-to‑to‑day operational management of the Practice to deliver high quality care to the patient population and ensure the smooth running of the Practice.

To manage and support the reception, secretarial and administration teams, taking a role in reviewing performance, training and recruitment.

Levenshulme Medical Practice is part of the Gorton & Levenshulme PCN. Our list size is increasing and we are near 9,800 patients at present. We have a team of 6 partners, 1 Salaried GP, 2 Practice nurses, 1 Pharmacist & 1 Pharmacy Technician, 1 HCA and Phlebotomist providing quality care to our patients.

We have 5 Reception staff, 2 Secretaries, 3 Administration staff providing services and support to the clinical members of staff, patients and the Practice Business Manager.

We are a well established practice delivering high quality care to our patient population. We have an excellent reputation and are very supportive of our staff members.


Job responsibilities

The Operations Manager is responsible for the non‑clinical day‑to‑day running of the office and support to the Practice Business Manager.

Deputise for the Practice Business Manager when absent.

Provide administrative support to the Practice Business Manager as required.

Dealing with patients, and contacts within the NHS and other practices, both in person and on the telephone.

Have an understanding of HR Law and assist the Practice Business Manager with any issues including staff recruitment, one‑to‑ones, appraisals, disciplinaries etc.

Provide minutes of practice meetings.

Co‑ordinates staff meetings (agenda/minutes) for Clinical & administrative staff.

Undertake any other duties as agreed with the Practice Business Manager.

Support the Practice Business Manager with the development, implementation, and maintenance of office policies and procedures.

Induction and training of surgery staff, medical students and Postgraduate placements.

Requesting references for new staff/locums/salaried GPs at the practice.

Maintain that all staff are DBS Checked.

Organise staff holidays and sickness.

Oversee the staff rota is up to date.

Maintain and manage all filing and organisational systems for the practice.

Ensure patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.

Take an active role in the complaints team.

Ensure regulatory compliance with all aspects of Employment Law, and all other statutory regulations.

Co‑ordinate logistics for internal and external training.

Ensure staffing is appropriate for day‑to‑day operations.

Support the practice prepare for CQC inspections.

Attend Patient Participation Group (PPG) meetings and correspond with the group periodically.

Assist in special projects and supports the Practice Business Manager in areas of quality improvement in line with ICB requirements.

Ensure all mandatory training is completed by all staff and certificates and TNA kept updated.

To understand the EMIS clinical and Docman systems.

Understanding of Surgery Connect telephone system.


Qualifications

* Secondary Education Qualifications.
* Minimum of 5 to 7 years in a Primary Care setting or 3 years in a supervisory or management position in a GP surgery.
* Management Training.
