Job Title: Finance Administrator (22.5 hours per week)

Salary: SCP 13–17 (£29,064 – £31,022 per annum, pro rata)

Reports to: Finance Manager

Location: Hybrid, would consider fully remote for the right candidate.

Position Concept

The Finance Administrator plays a central role in the Finance Team, managing core finance functions and ensuring accurate financial processing, reporting, payroll, and cashflow management. This role acts as a vital link between the Finance Manager and the Finance Administration Assistant, ensuring effective communication, collaboration, and continuity across all finance activities.

Key Responsibilities

Finance Administration

* Use Sage 50 Accounts to manage accounts and bookkeeping activities
* Create journals within Sage to ensure accuracy in financial records
* Ensure accurate and consistent use of nominal and departmental coding in line with budgets
* Monitor posting of income and expenditure with an analytical approach
* Ensure appropriate authority is in place for payments being processed
* Carry out regular bank and credit card reconciliations
* Process refunds for duplicate and overpayments promptly and fairly
* Manage credit control, issue invoices and statements
* Support the Finance Manager in preparing monthly, quarterly, and year-end reports by interrogating Sage
* Prepare quarterly VAT returns and assist with year-end financial collation
* Manage cashflow between bank accounts and transfer funds where appropriate
* Administer payroll and ensure accurate processing of pension contributions
* Collaborate with internal teams to resolve finance-related queries and improve efficiency
* Take ownership of the finance inbox, delegating workload appropriately across the team, responding promptly to invoice queries, and ensuring excellent service
* Join monthly finance meetings with the Finance Manager and contribute to ongoing improvements

General Administration

* Act as the key link between the Finance Manager and the Finance Administration Assistant, ensuring smooth communication, workflow, and support across the team
* Answer incoming calls to head office and assist with enquiries
* Demonstrate the Society's values of collaboration, respect, ambition, dynamism, and integrity in all aspects of work
* Undertake additional duties as required to support the team and wider organisation

Key Relationships

* Finance Manager – to provide accurate financial data, support reporting, and ensure compliance
* Finance Administration Assistant – to delegate tasks, share workload, and ensure continuity of finance operations
* Internal Teams – to resolve queries, provide finance support, and improve processes
* External Suppliers, Customers, and Partners – to manage payments, invoices, and financial communications effectively
