Job Overview:
The Personal Assistant (PA) will be a vital right-hand support to the Director, handling a range of executive, administrative, and personal tasks. You will ensure the smooth operation of the Director's day-to-day activities, enabling them to focus on strategic leadership and business development.
Key Responsibilities:
* Diary and Calendar Management: Organize and maintain the Director's schedule, appointments, and meetings (internal and external).
* Travel Arrangements: Coordinate travel, accommodation, and itinerary planning for both professional and personal engagements.
* Communication Handling: Act as a gatekeeper for emails, calls, and correspondence; draft communications and responses where appropriate.
* Meeting Coordination: Prepare agendas, take minutes, and follow up on action points from leadership and business meetings.
* Project Support: Assist with research, reporting, and documentation for business development, marketing, and new initiatives.
* Office and Admin Support: Liaise with internal teams, suppliers, and external stakeholders on behalf of the Director.
* Confidential Tasks: Manage confidential matters with discretion, including personal errands and tasks as required.
* Event Coordination: Support in organizing team events, marketing shoots, and industry appearances for the Director.
* Travel Between Sites: This role will involve travel to different practices and locations, so a valid driver's license and access to a car is essential.
Skills and Experience:
* Proven experience as a Personal Assistant, Executive Assistant, or similar role.
* Exceptional organizational and time-management skills.
* Strong written and verbal communication abilities.
* Tech-savvy, with proficiency in Google Workspace/Microsoft Office, and digital scheduling tools.
* Ability to multitask, prioritize effectively, and work independently.
* High level of discretion, professionalism, and attention to detail.
* Experience in healthcare, dental, or aesthetic industries is a plus, but not required.
