Our Building Services team is looking for a Business Support Manager to join the team on-site at one of our projects in London. The role involves providing administrative support to the BARL technical Teams and ensuring contract compliance.
Key Responsibilities:
1. Management of all sub-contractor logbooks, including filing service records and permit documentation, cross-referencing the CAFM system to ensure accurate information recording.
2. Managing site compliance documentation and issuing compliance reports.
3. Managing and archiving building services certifications and inspection records (e.g., HVAC, electrical, plumbing), ensuring timely evidence gathering in line with the PPM Schedule.
4. Handling the information handover process between the internal Projects Team and Operations Team (Drawings, Asset & Task Creation, RDS, and O&Ms).
5. Administering site compliance reports and updating site RAG statuses based on compliance evidence.
6. Liaising with Administrators/Senior Administrators to book access to secure areas for engineers and contractors.
7. Undertaking any other reasonable tasks as required by the Project Director/Technical Support Manager/Technical Manager.
8. Administering compliance documentation and sub-contractor logbooks.
9. Organising and scheduling meetings, preparing agendas, and taking minutes.
10. Managing Document Controller(s).
11. Proven experience in the proficient use of MS Office.
12. Ability to learn and adapt processes.
13. Excellent communication skills, both verbal and written, with the ability to communicate at all levels.
14. Client and supplier relationship management.
15. Organisation of site documentation.
16. Knowledge and experience of CAFM systems, reports, and the ability to interrogate historic reactive and PPM data.

18. Understanding of compliance documentation and the maintenance of sub-contractor logbooks.
19. Understanding the commercial process for raising orders and linking to the CAFM system.
20. Adaptability in communication at all levels.
