About the role
We’re looking for a highly organised and proactive Office Manager to ensure the smooth day-to-day running of a busy and fast-paced office. You’ll support three senior directors by managing diaries, coordinating travel, handling basic accounts and admin, and overseeing customer order processing.
This is a hands-on, standalone role with no direct reports — ideal for someone who thrives on organisation, variety, and making things run like clockwork.
Key responsibilities
• Diary & travel coordination – Manage and prioritise multiple calendars, schedule meetings, arrange travel, accommodation, and expenses.
• Office operations – Be the go-to person for the office; oversee supplies, post, couriers, facilities and basic H&S checks.
• Accounts & finance admin – Process purchase orders, invoices, expenses, and supplier bills; assist with reconciliations and reporting.
• Order processing & administration – Manage customer orders from input to delivery, maintaining accurate systems and records.
• Documentation & compliance – Prepare proposals, quotes, and client packs; keep contracts, insurance records and policies up to date.
• Executive support – Prepare meeting agendas, take minutes, track actions, and maintain efficient information flow.
What you’ll bring
• Previous experience as an Office Manager, Operations Administrator, PA/EA, or similar.
• Excellent organisational and multitasking skills with sharp attention to detail.
• Confident communicator who can prioritise and work independently.
• Proficient with MS Office/Google Workspace and familiar with CRM/shared systems.
• Basic bookkeeping and invoice/expense experience (Xero/Sage/QuickBooks a bonus).
• Professional, discreet and reliable under pressure.
Nice to have
• Experience scheduling engineers, field teams or logistics.
• Familiarity with order-to-cash or ERP systems.
• Full UK driving licence.
