Doncaster Adult Mental Health & Learning Disabilities Care Group is looking for an experienced, highly motivated, enthusiastic, and versatile Personal Assistant to join their Senior Leadership Support Team.
The successful applicant will provide a comprehensive and highly confidential personal assistant service to the Doncaster Adult Mental Health & Learning Disabilities Care Group Senior Leadership Team.
The role will include the robust management of extremely busy and conflicting diaries with a requirement to monitor, respond and elevate e-mails appropriately. Experience in the ability to produce excellent written minutes is mandatory. A requirement to proactively respond to ESR and performance reports is required. You will be involved in supporting the delivery of high-quality identified projects and specified business functions.
You will need to be flexible and proactive, able to respond and adapt to the varying demands and circumstances of a busy Senior Leadership Team. Resilience is an important quality to succeed in this role, as is the ability to plan and organise workloads in response to the diverse and competing priorities of the Care Group. A key function of this role is to create and maintain effective working relationships at all levels, both internally and externally, therefore enhanced written and verbal communication skills are essential.
Responsibilities
* Provide comprehensive administrative and secretarial support to the Care Group Senior Management Triumvirate, prioritising workload and planning ahead.
* Produce confidential correspondence, reports, presentations, minutes and agendas; draft documents using Word, Excel and PowerPoint. Create and maintain databases/spreadsheets and ensure timely distribution of all documentation.
* Manage and record incoming correspondence and emails, identifying urgent items and alerting relevant managers. Draft responses and handle routine mail, sharing information with appropriate teams.
* Arrange, attend and minute formal and informal meetings as required.
* Maintain and develop filing, archiving and records systems, creating procedures to support effective administration, including ‘bring forward’ reminders.
* Use information systems to monitor mandatory/statutory training and record staff absence.
* Act as first point of contact for the Triumvirate, assessing enquiries and directing actions in their absence.
* Initiate actions on behalf of the Triumvirate in response to telephone, email and in‑person enquiries.
* Manage and coordinate email and diary commitments for the Triumvirate.
