You’llbe playing a key role in supporting a multi-site workplace team, helping tomaintaina safe,efficientand welcoming environment for colleagues and visitors.This role combines practical facilities support with administrative coordination, acting as a key point of contact for stakeholders across UKCEH.
Working closely with colleagues and contractors,you’llhelp ensure day-to-day operations run smoothly, supporting the wider team to deliver an excellent service.Clear communication,organisationand a collaborative approach will be essential to success in this role.
Your main responsibilities will include:
1. Workplace Operations & Team Support
1. Deliver hands-on workplace support including room setups, moves, deliveries, waste handling, and general site logistics.
2. Act as the local workplace lead, coordinating daily activities and supporting onsite colleagues with guidance and cover as required.
3. Maintain high standards of housekeeping, safety, and presentation across the site through a proactive approach.
4. Provide flexible support across services, including reception and front-of-house where required.
5. Promote a positive, customer-focused culture and act as a key local point of contact for workplace matters.
2. Contractor, Maintenance & Asset Coordination
6. Coordinate and supervise contractors, ensuring compliance with permits, RAMS (risk assessment and method statements), and safe systems of work.
7. Support delivery of planned preventative maintenance (PPM) and reactive works, including first-line fault response.
8. Liaise with service providers and internal teams to ensure works are completed to agreed standards and timeframes.
9. Assist with maintaining asset records, site documentation, and maintenance data systems.
10. Contribute to minor works, maintenance improvements, and longer-term site development activities.
3. Compliance, Administration & Assurance
11. Carry out workplace inspections and statutory compliance checks (e.g. fire safety, water hygiene, emergency systems
12. Ensure defects, hazards, and non-compliance issues are identified, recorded, and resolved in a timely manner.
13. Manage service requests, bookings, and helpdesk tasks, ensuring efficient tracking and closure
14. Maintain accurate records of inspections, contractor activities, and compliance documentation.
15. Support audits, reporting, and administrative processes to ensure adherence to organisational policies and regulatory requirements.
For the role of Facilities Support Officerwe’relooking for somebody who has:
16. Ability to take a practical, hands-on approach to solve operational issues and solving facilities-based problems.
17. Willingness to learn facilities health and safety statutory compliance requirements.
18. Personable and comfortable managing contractors and/or service providers. Willing to challenge standards of work ifrequired.
19. Strong organisational, administrative, and IT skills (Microsoft 365 and helpdesk systems)
20. Confident communicator with a proactive, customer-focused mindset and ability to support others
21. Full UK driving licence – this is a requirement for trips to Aber.
22. Knowledge of building services, maintenance practices, and asset management systems (Desirable)
23. Experience in working in facilities,estatesor workplace environment.(Desirable)
24. Health and safety experience and an understanding of statutory compliance.(Desirable)
25. Experience supporting planned preventative maintenance (PPM) and reactive works (Desirable)
26. Awareness of compliance areas such as water hygiene, fire safety, or COSHH (Desirable)
27. Relevant training (e.g. Legionella, fireawareness) (Desirable)
