Job Overview
We are looking for a candidate who is keen and eager to learn to work in the admin team and in reception.
To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Duties
a. Maintaining and monitoring the practice appointment system
b. Greeting patients at Reception
c. Process personal, telephone and e-requests for appointments
d. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
e. Signpost patients to the correct service
f. Process incoming and outgoing mail
g. Initiating contact with and responding to, requests from patients, team members and external agencies
h. Process calling letters as requested
i. Read code data on System 1
j. Photocopy documentation as required
k. File and store records as required
l. Input data into the patient's healthcare records as necessary
m. Scanning of patient related documentation and attaching scanned documents to patient's healthcare records
n. Manage all queries (including administrative queries) as necessary in an efficient manner
o. Reading & redacting medical records
p. Process repeat prescription requests received by phone, email,, post, slips and the online access system, in accordance with practice protocol
q. Produce prescriptions for the GP to sign in an acceptable timeframe
r. Deal with all prescription related enquiries in a timely manner
s. Maintain a clean, tidy, effective working area at all times
t. Monitor and maintain the reception area and notice boards
u. Support all clinical staff with general tasks as requested
