Under limited direction, provide administrative support to the UK and EMEA Co-Head of DCM and other senior bankers within Financing. Duties are complex and highly confidential in nature requiring a great use of discretion. The role will include extensive client interaction and liaison at CEO / Chairman level as well as regular contact and communication with high-level management both within Citi and externally.
Responsibilities:
1. Complex calendar management using own initiative and exercising own judgement
2. Compose and prepare internal/external correspondence in addition to maintaining, answering and routing correspondence not requiring manager’s attention
3. Monitor and ensure implementation of company policy
4. Coordinate all aspects of executive level manager appointments, meetings, receptions and conference/video calls
5. Assist with creation / modification of presentations, spreadsheets and other various documents
6. Collation and preparation of expense receipts and supporting documentation for Mumbai team processing
7. Coordinate travel arrangements, understanding executive’s travel preferences and needs, using initiative in managing itinerary times and costings. Arrangement of Visas where required.
8. Create and maintain correspondence and record files
9. Assist and fill in for other support staff
10. Train, coach or guide other administrative staff where required
11. Assist with any other ad hoc reports and special projects as required
12. Run and review weekly and monthly client tracking reports on internal reporting systems ensuring deadlines are met
13. Assist in organising group morale events and franchise parties
14. Assist with Client events and roadshows where required
15. Enter and manage client meetings via internal CRM application
16. Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm’s reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgement regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency
17. May prepare and review materials and correspondence for meetings
18. Prepares, reconciles and tracks expense reports
Experience:
19. Proven experience of operating all office equipment and ability to train others in use of the same
20. Substantial experience of operating in a similar role in a professional services environment, ideally within IB.
21. Proven experience of adapting to changing circumstances, responding to varying business needs and priorities
22. Demonstrable experience of working effectively in a high-pressure and challenging environment
Skills:
23. Highly proficient in MS Office applications, including use of Outlook as a business tool
24. Strong IT skills; experience of internal Citigroup applications an advantage
25. Strong interpersonal and organizational skills
26. Consistently demonstrates clear and concise written and verbal communications skills.

Qualifications:
32. Significant experience at senior level within a corporate environment, ideally within IB
33. Degree level qualification an advantage
34. Professional secretarial qualifications advantageous
