Project Administrator
We are seeking a highly organised and proactive Project Administrator to support our busy programme management team. The team oversees a wide range of projects including product design, software releases, and process improvements across multiple locations. This role plays a key part in ensuring projects run smoothly, efficiently, and in alignment with company processes.
Role Overview
The Project Administrator provides essential administrative and coordination support to Project Managers, enabling effective planning, execution, and delivery of projects. Working across multiple initiatives, you will help maintain accurate project data, track financial elements, keep documentation up to date, and assist with the overall governance of project activities.
Main Responsibilities:
* Assist in preparing and coordinating project plans and budgets
* Gather project set-up information such as resource needs and budget inputs
* Collect and coordinate project data including timesheets and forecasts
* Track and maintain project costs, including production and purchase orders
* Raise purchase orders as needed
* Update cost-tracking documents for monthly finance reporting
* Support Project Managers with managing and monitoring project change requests
* Assist with project re-planning, re-approval, and re-baselining
* Maintain comprehensive project documentation (minutes, reports, correspondence)
* Provide administrative support for meetings, presentations, and milestone tracking
* Work with Finance to ensure timely and accurate invoicing and payment processes
* Contribute to the development and implementation of improved processes
Essential Skills & Experience
* Previous experience in an administrative or project support role
* Proficiency with Microsoft Office tools
* Strong organisational and time-management skills
* Proactive, self-motivated, and confident in resolving issues
* Clear and effective verbal and written communication
* Calm and positive when working under pressure
* Ability to work with discretion when handling confidential information
* Strong team player with the ability to work independently when needed
* Ability to work on-site in the Cambridge office
