Band 4 Medical Secretary Supervisor- Lower GI Surgery

We have an exciting opportunity to recruit a motivated and passionate Medical Secretary Supervisor/PA to our friendly Lower GI Surgery Team, to provide secretarial and administrative support to two Consultant Surgeons. The Lower GI Service provides a high level of care and management to patients with diagnoses of cancer and benign conditions.
The post holder will need to possess excellent typing and administrative skills, with previous secretarial experience and excellent communication and teamwork skills. Excellent time management and prioritisation skills, as well as attention to detail, are also essential in order to meet Trust Targets and tight deadlines. The post holder will work under indirect supervision and will directly contribute to and help coordinate efficient running of the Service, ensuring that a seamless approach to patient care is delivered.

Main duties of the job
* Typing of clinical and administrative letters.
* Management of waiting lists and theatre lists.
* Booking/Management of Outpatient appointments.
* Management of partial booking waiting lists.
* Opening and distribution of incoming mail, using judgement to decide which are for urgent action.
* Diary management.
* Prioritise own workload to meet services needs and deadlines.
* Provide effective communication via telephone, face to face and email.
* Meeting Trust Targets.
* Ensure that Mandatory Training is completed as required.
* Data Protection and confidentiality in line with Trust policy and procedures.
* Adhering to Trust Values.

Person Specification
Qualifications
* Good General Education (eg. GCSE English and Maths A-C) GCSE Level 9-4
* Business Administration NVQ level 3 or equivalent experience in a clerical environment
* AMSPAR Certificate/equivalent qualification or equivalent knowledge of medical terminology
* Working knowledge of medical terminology
Experience
* Experience of working as a Medical Secretary
* Experience of dealing with the Public/Customer service experience
* Experience of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
* Experience of using IT systems
* Experience of working in Healthcare
* Good Organisational skills
* Able to use own initiative and deal with the unpredictable
* Able to work under pressure and to multitask
* Able to work to deadlines
* Experience of working in a busy environment
