We are seeking a highly organised, proactive, and professional Executive Assistant (EA) to support the Chief Digital Information Officer (CDIO) in delivering strategic priorities acrossthe department

As a trusted partner to the CDIO, you will play a pivotal role in ensuring the effective day-to-day running of the CDIO's office, working closely with senior colleagues across the University and beyond. This is a varied and rewarding role, ideal for someone with strong experience at executive level and a passion for delivering high-quality support in a complex organisation.


Key Responsibilities

* Manage the daily operations and strategic business planning within the CDIO's office.
* Build strong working relationships across departments, divisions, and senior leadership.
* Efficiently manage a high-volume diary and inbox, using judgement to prioritise and delegate appropriately.
* Prepare briefing notes, ensure timely circulation of meeting papers, and follow up on actions.
* Coordinate complex UK and international travel, including visa arrangements.
* Support and collaborate with colleagues in to provide seamless administrative support.
* Organise large-scale events, away days, and conferences, including managing logistics and budgets.
* Manage internal committee business, including agenda setting, minute taking, and ensuring follow-up on decisions.
* Maintain accurate and accessible records, and continuously improve administrative systems and processes.
* Represent the CDIO's office with professionalism, tact, and discretion at all times.
* Act as a mentor to new administrative staff and contribute to staff forums and communities of practice.
* Embrace digital tools and AI to streamline administrative processes and enhance efficiency.
* Provide occasional cover for colleagues and oversee junior staff as required.


About You


You'll be an experienced and forward-thinking EA, comfortable working with senior leadership and confident managing complex schedules and communications. You'll bring initiative, discretion, and a solutions-focused mindset to everything you do.


Essential Skills and Experience:

* Significant experience as a PA or EA supporting executives at a senior level in a large or complex organisation.
* Proven track record of managing busy diaries and organising international travel arrangements.
* Excellent digital literacy, including Microsoft Office, and a readiness to adopt new technologies and AI tools.
