The post holder will provide a comprehensive clerical, administrative and secretarial support service to all parts of the Child and Adolescent Mental Health Service.
The post holder needs to work autonomously for the majority of the time, but be able to seek advice when necessary as well as work with colleagues in the administration team to support the service and deliver against business priorities in a timely manner. The post holder will need to be able to communicate and exchange complex, sensitive information across the organisation both internally and externally, using tact and persuasive skills and demonstrate excellent communication skills and the ability to handle sensitive and confidential information and be able to prioritise work and deal with competing demands and interruptions.
The post holder will establish strong links with colleagues across the Health Board and with those providing services to patients both in and outside Powys. They will be responsible for organising meetings, preparing papers and taking minutes.
The post holder will undertake reception duties as required.
Main duties of the job
Provide a range of clerical and secretarial services as directed.
Manage the diary and appointment schedule of managers as required, utilising diary time effectively.
Provide support and cross cover within the department to ensure a continuous administrative service.
Manage incoming correspondence, dealing with routine items and action reminders as instructed.
Powys Child and Adolescent Mental Health Service (CAMHS) covers both Primary Mental Health and Specialist CAMHS functions through one service, with dedicated workers for each.
The administrative function of the service is integral to the effective running of CAMHS. The successful candidate will join an already well-established administration team offering a full range of clerical duties to the service. The team is split over two sites, but works as one team covering the whole service, county wide. Person Specification
Qualifications and Knowledge
* NVQ 3 or equivalent qualification or relevant experience
* GCSE English and Mathematics
* Experience of using computer-based management information systems
* Experience and an ability to prepare detailed reports
* Experience of using Microsoft Office software
* Experience of working in an environment where both tact and diplomacy has had to be used
* Knowledge of the structure and operation of the Health Board
Experience
* Advanced Keyboard Skills equivalent to RSA 2/3 or relevant experience
* An excellent communicator at all levels within and outside an organisation including an ability to communicate effectively with patients and members of the public and develop relationships with external agencies and organisations
* Ability to write / speak Welsh
* Knowledge of Oracle
* Knowledge of WCCIS & WPAS
* Excellent verbal and written communication skills
* Ability to identify, prioritise and work to short deadlines
* Able to work without supervision to achieve the objectives of the post
* Ability to design and layout reports, forms and other documents to a high quality and appropriate format
* Ability to take accurate minutes
* Ability to collate and undertake a basic analysis of data
* Ability to prepare information for meetings and seminars
* Ability to communicate clearly and succinctly, both orally and written
