Job summary
An exciting opportunity has arisen for an enthusiastic and patient centred individual to join the Abdominal Medicine & Surgery Team in the role of Admissions co-ordinator for HPB/UG/PANC. The position is based in the Bexley Wing admissions departments at St James University Hospital. Applicants should have a responsible attitude, be proactive, and demonstrate using initiative. Excellent communication skills are essential as you will be required to liaise with patients and colleagues. The post holders will be required to work as part of a small team, providing an excellent service for elective patients on the 18 week and cancer pathways whilst ensuring that the pathway is as seamless as possible. Main duties of the job
* Schedule and record patients admission dates on the relevant Trusts administration system including PAS and TMS in an accurate and timely manner in accordance with local Trust policies.
* Ensure patients have admissions booked in priority according to their clinical needs and in chronological order.
* Organising and prioritising workload based on needs of the service.
* Using and updating databases, producing reports and statistics for the team and wider distribution. On a regular and ad hoc basis e.g. waiting lists and PTL.
* Respond effectively to telephone communications in a polite and helpful manner, observing the need for discretion and courtesy. Taking responsibility for returning any follow up calls as necessary.
* Liaise with the wards on a regular basis to ensure patient information is accurately recorded on PAS including admission, cancellations and Do Not Attends.
* Ensure all cancellations are reported to the wards, clinicians and medical secretaries in a timely manner and make arrangements, where appropriate, to re-admit the patient.
* Ensure work is completed and targets met within agreed timescales and in line with the trust policies and procedures.
Person Specification
Qualifications
* Essential: Good Basic Standard of Education demonstrating excellent communication skills and numeracy
* Minimum of 5 GCSE, NVQ or the equivalent qualifications
Skills & behaviours
* Essential: Fair, honest and consistent in their approach. Diplomatic, self-motivated and enthusiastic with a professional attitude. Communicate sensitively and effectively.
* Essential: A good team player, with the ability to work independently and flexibly in a diverse and demanding environment
Desirable
* Ability to use the Trusts Patient Administration systems, such as PAS, PPM+, TMS, Microsoft Office
Experience
* Essential: Experience of working in an office environment. (This includes work experience at school or college)
* Desirable: Experience Working with Patients in an administrative environment
