Bookings Team Lead | Spire Claremont | Sheffield |Full time | 37.5 hours

Spire Claremont Hospital are looking for a BookingsTeam Lead to join the team on a full-time basis, working 37.5 hours per week.

Spire Claremont Hospital has provided first-class independent healthcare at the heart of the South Yorkshire community since 1953. Our hospital is situated among beautifully landscaped grounds in Crosspool, Sheffield and it is situated 3 miles (about 20 minutes) to the south west of Sheffield city centre.

Claremont Hospital has 42 beds, three laminar flow theatres, 13 consulting rooms, a static MRI and CT scanner, and plain and digital X-ray. The hospital provides surgery and outpatients with diagnostic imaging services.

Job Purpose

To ensure the delivery and administration management of all stages of the booking process including admissions and pre-op assessments across all payors. To ensure the bookings team provide a high standard of customer service to all patients, consultants, NHS partners, staff and visitors. To manage workload effectively and efficiently in line with the demand of the business, adhering to KPI’s, clinical standards and commercial requirements.

To be an advocate of excellent customer care whilst working as a team. To make a positive difference to our patients lives through outstanding personalised care.

Overall Responsibilities

1. Provide and maintain an efficient bookings system for all of our patients, dealing with phone queries, managing email communications, using and managing computerised systems (SAP & HMS).
2. Plan theatre lists for Consultants.
3. To be a leader within a team of multi-skilled administrators who can adapt to the demands of the business and to drive operational performance
4. To adhere to HR policies and procedures within the inpatient bookings team and pre op admin team, including managing sickness, annual leave and underperformance management
5. To manage NHS contract work operationally, weekly performance meetings, management of patient flow, liaising with key NHS stakeholders
6. To maintain good working relationships with Consultant stakeholders
7. Ensure all administrators within the team have monthly 1-2-1’s and feedback sessions and EE’s set
8. To run a team meeting monthly to communicate any updates or changes
9. Ensure all calls are answered in a timely manner delivering high standards of customer service at all times. Carry out quality assessments regularly and give feedback to the team
10. Plan the workforce in line with activity and to ensure the timely management of all administrative tasks associated with bookings, pre-op assessment and admissions
11. Create activity reports to share with the Patient Administration Manager, Operations Director and the SMT

Qualifications and Training

Good standard of secondary education with demonstrable literacy and numeracy skills.

Experience

Track record of successful delivery in a similar role, in an office and / or customer service environment.
