The Role

In this role you will primarily support the investigators, lead investigators and investigations manager in a wide range of administrative tasks including contacting case parties for information and uploading of documentation onto the case management system. There may be occasions when you would be asked to work with the triage team if there is a business need.
What you will do
* Provide consistent and high-quality customer service to internal and external stakeholders, as well as parties involved in fitness to practise cases.
* Manage large quantities of sensitive and potentially distressing information in relation to fitness to practise investigations in accordance with data protection legislation and our data management policies and procedures.
* Send, receive, and manage all case correspondence to and from our external legal services provider and internal teams, to ensure it is managed in a timely manner.
* Upload documents and correspondence to the case management system in a timely manner to help ensure complete and accurate case records.
* Assist investigators with the creation and redaction of bundles of evidence.
* Communicate with case parties regarding cases that have been instructed to the external legal provider.
* Assist with investigations including planning, risk assessing and evidence gathering and corresponding with case parties as required and appropriate with the supervision of an investigator.
* Be responsible for completing requests for information from the disclosure and barring service (DBS) and managing any return correspondence. This includes keeping an accurate record of all requests received and sent.
* Complete finance payments for requests for service / documentation made by the investigations team. This includes keeping an accurate record of all payment requests received and made and liaison with the finance team where appropriate.
* Book meetings take minutes and manage action schedules for meetings held within the investigations team.
* Monitor and manage the Investigations email account and post.
* Assist the information governance team with responses to Subject Access Requests and Freedom of Information request made to the Investigations team.
* Maintain, update, analyse and report on case tracking systems.
* Proactively identify and raise any gaps in processes or improvements that could be made with regards to the external legal provider working relationship.
Your Skills, Knowledge And Experience
* Excellent written and verbal communication skills.
* Ability to work within a statutory framework.
* Experience of working in a customer/client-based environment, with the ability to communicate effectively and confidently with internal and external stakeholders.
* Experience with case management systems and of maintaining records.
* Experience of managing sensitive and confidential information.
* Experience of working in a team and supporting others.
* Analytical and research skills with an attention to detail.
* Ability to plan and organise own workload and manage own time effectively.
* Ability to manage competing priorities and adapt to changing priorities while maintaining quality and accuracy of work.
* Ability to troubleshoot and resolve problems.
* Strong IT skills, including a good working knowledge of Microsoft office products.

* Job type: Fixed-term contract until 31 March 2026 (2x positions available)
* Working pattern: Full time. We offer flexible working subject to business need.
* Salary: £25,921 per year, rising to £27,064 per year after successful completion of a 6-month probationary period.
