The role also includes administrative support, within the office environment, to support the daily needs of the team.

The role is Trust wide covering Warwick, Leamington and Stratford Hospitals

Main duties of the job

We are looking for a motivated team-oriented highly organised and customer-focused individual to join our Car Parking Team.

You will play a vital role in supporting the daily operations of our car parking services, ensuring smooth processes for both staff and visitors.

The candidate should be able to work in a calm, logical and methodical way and be able to multi- task. They should also demonstrate an adaptable, flexible approach.

The candidate will be dealing with day to day car parking queries and questions and preparing and completing staff permit approvals, removals and payroll information

The role will be onsite based, there is a possibility of working from home one day per week once up to speed and subject to team shortfalls.


About us

SWFT Clinical Services is a wholly owned subsidiary of the South Warwickshire University NHS Foundation Trust (SWFT). The company provides a number of services such as outpatient pharmacy facilities at Warwick and Stratford and Nuneaton hospitals; estates and facilities management at Stratford hospital, Acorn House and Lillington Health Hub; private patient service and consultancy services to NHS Trusts.

Subject to the Company and individual's performance, an annual discretionary bonus will be awarded.

There is automatic enrolment to the Company pension scheme, with the Company contributing 5%.

Job responsibilities

Key Responsibilities:

Process parking permit applications and renewals efficiently and accurately

Processing payroll requests for car parking deductions from salary

Maintain up to date records and databases

Respond to customer enquiries by phone, e-mail and in person

Assist with resolving disputes

Provide administrative support to the Parking Team

Monitor parking system performance and support reporting activities

Maintain accurate records of parking usage, payments, and enforcements action

Respond to enquiries from staff, contractors, and the public

Monitor ANPR system to ensure compliance and report faults

Liaise with enforcement officers and external contractors as needed

Prepare reports, statistics and documentation for audits or management review

Escalating Parking Charge notices to the nominated car parking management provider for swift resolution

Processing concession which are available for patients, directed by wards and/or departments

Work in partnership with other organisations to improve the provision of onsite facilities (e.g. cycle parking)

Undertake/arrange and attend team/department meetings on a regular basis and contribute to building effective teamwork in exchanging views and ideas


Person Specification


Qualifications

* Excellent written and verbal communication skills
* Strong attention to details and accuracy
* Ability to work independently and as part of the team
* GCSE A-C Maths and English or equivalent
* Previous experience in administration or customer service
* Microsoft Office including Word, Excel, Power Point, and e-mail packages


Experience

* Experience of delivery of administrative systems
* Experience of using own initiative and prioritising workload
* Knowledge of Trust Risk Assessment process
* Basic Health and Safety knowledge
* Office experience of at least 1 year preferably in NHS environment
* Experience of dealing with internal and external clients both face to face and via telephone
* Organisational Management Skills


Skills

* Ability to take reports and integrate across various other platforms and provide the core message and output as required.
* Work with minimal day to day leadership. Agree development needs for the role in advance and keep to key milestones. Drive the requirement purposefully.
* Ability to communicate both written and verbally with other staff, Trust employees, patients and public
* Self-motivated. Able to work without supervision.
* Ability to prioritise instructions
* Ability to work under pressure to meet tight deadlines
* Ability to work as part of a team
* Ability to take the message from raw data and develop it as far as colleague sharing of the message required in support of the Car Parking Solution and the Trust Values
* Work within a similar service which is supported by the core delivery of a Car Parking Policy. Develop the Policy as change denotes


Personal Qualities

* Flexible approach to working hours.


Other

* Passes Occupational Health Screening
* Good presentation.
* Willingness to work out of normal working hours when necessary
* Holds a current driving licence
