Responsibilities
* Manage the Managing Director’s complex calendar, scheduling internal and external meetings, and coordinating across time zones.
* Arrange domestic and international travel, accommodation, itineraries, and expense claims in compliance with policies and regulations.
* Draft, format and manage correspondence, presentations and briefing materials for internal and external use.
* Coordinate board and senior leadership meetings, including agenda preparation, minute‑taking and action‑item tracking.
* Act as a trusted liaison between the MD, senior executives, clients, government stakeholders, and staff.
* Ensure the MD is briefed ahead of meetings and strategic engagements.
* Prioritise conflicting needs, manage projects to successful completion under deadline pressures.
* Maintain strict confidentiality of highly sensitive business and personnel information.
* Monitor and prioritise incoming communications, flagging urgent matters.
* Support planning and execution of key events, site visits and conferences.
* Coordinate with security teams to ensure compliance with defence sector standards and visitor protocols.
* Primary point of contact for all travel enquiries, liaising with a designated third‑party travel provider.
* Support employees in using the travel booking system, and serve as escalation point for travel issues.
* Ensure adherence to corporate travel policies and raise exceptions when necessary.
Qualifications
* Minimum 5 years of experience supporting senior executives, ideally in defense, aerospace, engineering or a related government‑regulated sector.
* Experience managing sensitive and confidential information with discretion.
* Proven ability to handle complex travel, logistics and scheduling with high accuracy.
* Strong interpersonal and stakeholder management skills, including senior government, military or commercial partners.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with digital communication and project tracking tools.
* Excellent written and verbal communication skills.
