Gilbarco Veeder-Root’s (GVR) Project Installation team plays a crucial role in collaborating with both existing and prospective customers to support forecourt rollout and expansion initiatives, as well as new site projects. The team is responsible for defining the scope of work for each project, utilizing internal and external resources to ensure successful completion.
The Project and Invoicing Administrator works closely with the project team to facilitate and manage key activities, ensuring effective communication and coordination. This role involves confirming the availability of installation products and parts, preparing them for distribution to the project site, and invoicing clients to ensure seamless project execution.
Key Responsibilities
1. Assist the project management team by raising Purchase Orders (POs) to procure and ensure timely delivery of products and materials necessary for installation projects.
2. Coordinate with suppliers to ensure all orders meet project timelines and specifications.
3. Provide feedback to Project Managers and communicate effectively with third-party suppliers and customers to ensure clarity and alignment on actions.
4. Liaise with customers to ensure commissioning activities follow the schedule and address any changes as they arise.
5. Raise invoices for product sales and installation work.
6. Update and manage customer portals for accurate and timely information, enabling customers to process payments efficiently.
7. Send warranty details to the contracts team to facilitate effective management of service agreements and customer satisfaction.
8. Meet regularly with the internal resource planning team to schedule commissioning for new sites and coordinate with customers for smooth commissioning processes.
