Job Summary
We are seeking a highly organised and proactive Office Manager to oversee daily operations within our busy office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a solid background in administrative functions. This role involves managing administrative staff, maintaining efficient office procedures, and ensuring smooth communication across departments. The Office Manager will also be responsible for financial oversight and supporting human resources activities. This is a paid position suitable for candidates eager to contribute to a professional and dynamic team.
Duties
* Supervise and coordinate the activities of 3 part time administrative staff
* Oversee office operations to ensure efficiency and productivity
* Oversee the management of financial transactions by another staff member
* Handle human resources responsibilities such as recruitment, onboarding, and employee record management
* Maintain organised filing systems both digitally and physically
* Provide exceptional communication via phone, email, and in person to clients, suppliers, and staff
* Develop and implement office policies and procedures to streamline workflow
* Organise meetings, prepare agendas, take minutes, and follow up on action items
* Ensure high standards of phone etiquette are maintained at all times
* Support organisational projects as needed with strong administrative backing
* Work with and support the Minister including organising retreats
* Hold all hire/leases eg for office equipment
* Work with outsourced information system and telephone suppliers
* Manage the production and distribution of a booklet (Daily Word) every other month
* In addition to overseeing work, undertake the performance of work within the allotted hours
Experience
* Proven experience in office management or administrative roles with demonstrated supervisory responsibilities
* Proficiency in using modern IT tools
* Experience in human resources functions such as recruitment or employee relations is desirable
* Strong clerical, organisational, and administrative skills with attention to detail
* Excellent communication skills both written and verbal
* Previous experience managing teams within an office setting is preferred
* Demonstrated ability to multitask effectively under pressure while maintaining professionalism
* Flexibility and time management skills
* Compatible with an office providing spiritual support to a wide community
