Roving Ambassador (Facilities Assistant)

Salary: £30,000 per annum

Availability required: Monday to Friday, 6:30 am to 7:00 pm

Reporting to: Regional Front of House Manager


Role Overview:

As a Roving Ambassador (Facilities Assistant), your mission is to create a seamless 5-star experience for visitors and colleagues, supporting the Front of House and Facilities Managers to proactively manage the workspace. You will ensure all facilities are functioning properly, providing exceptional service and attention to detail. The role requires excellent organization, independence, and the ability to develop meaningful relationships with clients and stakeholders. You should be comfortable assisting with AV queries and conducting floor walks to resolve issues impacting the colleague experience. This is a physically demanding role requiring you to spend much of your time on your feet.


Key Responsibilities:

1. Meeting Rooms and Porterage: Set up and reset meeting rooms and event spaces according to specified layouts.
2. Warm Welcomes: Greet and assist visitors and colleagues professionally, providing concierge-level service.
3. Manage Key Areas: Oversee physical touchpoints, ensuring all colleague and client-facing areas meet standards and are fully operational.
4. Efficient Check-ins: Handle visitor check-ins and check-outs smoothly at reception.
5. Queue Management: Manage queues proactively to ensure efficient arrivals and departures.
6. Facility Coordination: Support facilities management and the FOH team to maintain high service standards and workspace compliance.
7. Technical Expertise: Provide first-class AV support for meetings and regularly check AV equipment to ensure functionality.
8. Security: Maintain vigilance to ensure safety for all colleagues and visitors.


Main Duties:

1. Professional Conduct: Uphold high professionalism, adhering to company policies.
2. Effective Communication: Address requests efficiently with clear follow-up.
3. Routine Checks and Audits: Conduct floor walks, perform service audits, and coordinate work orders.
4. Visitor Engagement: Build rapport with frequent visitors and act as host in the lobby.
5. VIP Services: Deliver exceptional service to VIP guests.
6. Query Management: Respond to colleague queries across platforms promptly.
7. Visible Support: Be accessible and proactive throughout the office.
8. Interlock: Coordinate responses between service teams and management.
9. Team Collaboration: Support workplace experience initiatives and events.
10. Escorting: Host approved contractors on site.
11. Administration: Maintain logs, prepare reports, and manage office supplies and uniforms.
12. Point of Contact: Act as the eyes and ears in the absence of the Facilities Manager and lead team briefings.
13. Role Model: Demonstrate service standards and assist in training team members.


Qualifications:

1. Minimum 2 years’ experience in prestigious corporate environments or high-end 5-star hotels.
2. Exceptional verbal, written, and interpersonal communication skills.
3. Immaculate grooming and personal presentation.
4. Proficiency in Outlook, Word, Teams, Chrome; experience with visitor management tools like Condeco.
5. Comfortable with AV equipment (MTRs, microphones, speakers, docking stations).
6. Ability to handle a high volume of queries across various platforms.
7. Customer service mindset aligned with 5-star hotel standards.
8. SIA Licence (to be provided).
