Broadstairs Medical Practice is looking to recruit a Full-time/Part-time Receptionist/Administrator with excellent customer service and organisational skills into our friendly administration team.
Main duties of the job
Able to provide a high-quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals, and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional manner. To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients.

Job responsibilities
Job summary:
Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Administration
* Have a thorough knowledge of all practice procedures.
* Work in accordance with written protocols.
* Pull/filing notes for surgeries and update as necessary.
* File post in medical records.
* Photocopy as requested.
Reception
* Receive patients consulting with members of the practice team.
* Hand completed repeat prescriptions to patients and check names and addresses.
* Be able to cover all reception positions as necessary.
Appointments
* Process appointment requests for today and future appointments from patients by telephone and in person.
* Deal with visit requests.
Computer
* Register new patients, enter data into the computer, and update medical records.
* Process patients' change of address and medical records updates.
* Process repeat prescription requests following practice guidelines.
Telephone
* Have a working knowledge of the telephone/bleep system, during and after hours.
Other Tasks
* Ensure building security, including knowledge of doors, windows, and alarm systems.
* Perform any other tasks allocated by managers.
The post-holder will:
* Apply practice policies, standards, and guidance.
* Discuss with other team members how policies, standards, and guidelines will affect their work.
* Participate in audits where appropriate.
Performance/Professional Development
* Participate in training to keep administrative, clinical, and computer skills up to date.
* Participate in regular appraisal and team meetings.
Working with Patients
* Work in partnership with patients to help them achieve better health outcomes.
* Offer polite, friendly, and efficient customer service to all patients.

* Treat patients, colleagues, and visitors with dignity and respect at all times.
* Follow safeguarding protocols to ensure the safety of vulnerable populations.
Feedback
* Listen to feedback from patients and colleagues, including complaints, comments, or compliments, and report unresolved issues to the Practice Management Team.
CQC
* Work within CQC guidelines to ensure the Practice is safe, efficient, and provides the best possible care.
* Suggest improvements to the Managing Partner regarding processes related to CQC.
Person Specification
Qualifications
* GCSE Grade C or equivalent in English and Maths.
* Good general education.
* Experience working with the public.
* Excellent communication skills (written and oral).
* Polite telephone manner.
* Good time management skills and ability to meet deadlines.
* Interpersonal skills.
* Reception work experience.
* Experience in General Practice.
* Knowledge of EMIS IT system.
