An exciting opportunity has arisen to join our in house dynamic and motivated UK People Health & Wellbeing Team. This varied and wide ranging role, is to support employee health and wellbeing at work as part of the UK – People Health and Wellbeing Team. The role uses administrative, organisational, MSOffice skills. The working environment may give exposure to medical / safety emergencies and as such, a calm mind in the heat of an incident to deliver support that may be required is needed. The nature of the work this team does is highly confidential and compliance with all GDPR legislation is of the utmost.

WHAT YOU’LL DO

1. Maintain effective communication with all levels of staff.
2. Manage general and emergency telephone calls
3. Liaise with internal & external Specialists/Practitioners
4. Input into the Wellbeing programme including working with the team to produce articles for the Webpages
5. Assist with information gathering during webinars such as attendee’s lists, chat box management and feedback surveys
6. Assist with co-ordination of wellbeing programmes and awareness days.
7. Maintain and distribute first aid rota and provide point of contact for first aiders, including First aid supplies, terms of reference, honorarium payments
8. Liaise with Learning and Development colleagues in respect of First Aid training requirements and keep relevant spreadsheets up to date
9. Maintenance of the PHWB specialist software
10. To effectively manage the Department's appointment system including review appointments
11. Manage health needs assessment tool with onsite managers identified
12. for health surveillance, liaise with external provider on clinic requirements using internal health needs assessment tool
13. Filing (electronically/hard copy) e.g. letters, medical certificates, self-certificates.
14. Processing the starters and leavers lists
15. Visitors notification process
16. Maintaining archiving system and appropriate disposal of records.
17. Facilitate the maintenance/updating of the PHWB web pages
18. Collating and preparing regular data (e.g. sickness absence, diary utilisation)
19. Management of the Eyecare portal: ensuring the updated GCI loads are sent over each month and that all invoicing information is exported from the system into our shared drive
20. Dealing with any queries or issues relating to the eyecare portal
21. Arranging calibration of equipment on site
22. Monitoring and maintaining stocks of clinical and first aid supplies & equipment (
23. Stationery & special equipment ordering
24. Preparing medical notes for clinics
25. Sending out Confidential letters and reports for clinical team following appointments in compliance with GDPR & strict security data compliance
26. Collation of Quarterly Stats
27. Manage absence data, including data input and LTS
28. Provision and maintenance of all necessary reports.
29. Preparing letters and liaison with People Business Partners on Statutory Sick Pay / Occupational Sick Pay.
30. Recording of PHWB spend to budget.

WHAT WE’RE LOOKING FOR

31. PC literate with competency using MS Office with Excel skills at intermediate level.
32. Demonstrable administrative, forward planning and organisational skills
33. Numeracy skills with invoice processing experience desirable, though training is available
34. Attention to detail and a high level of accuracy is required
35. Effective communication skills and confidence to approach all members of staff
36. Demonstrate initiative, self-motivation, self-management
