Strabane Health Improvement Project is seeking an Office Administrator to organise and coordinate administration and financial duties and all office procedures. This post is an integral part of our Community Health project. With the main responsibility for the daily function of our offices, from the overseeing of daily office activities to liaising with key suppliers, and providing general administrative and financial support to the project programmes and its employees.
Responsibilities
* Overseeing the day-to-day smooth running of the office
* Managing the office and programme budgets
* Maintaining office equipment and supplies
* Keeping of project accounts and maintaining online banking system and Staff PAYE
* Managing the front‑of‑house office
* Organising office operations and procedures
* Ensuring office efficiency and managing office filing systems
* Writing reports and taking minutes of meetings
* Implementing monitoring & evaluation systems for the project health programmes
* Ensuring information is recorded & stored according to GDPR and policy regulations
* Assist in the production of publicity materials across all social media platforms
* Preparation of financial records and project claim forms
* Any other duties prescribed by the Manager or the Directors
Skills and Qualifications
* Educated to 5 GCSE level or above, that includes English & Maths plus three other disciplines and two years’ experience in administration & financial support in a community programme or an office setting
* Or three years’ experience in administration & financial support in a community programme or office setting
* Experience working with financial budgets, accounting systems, online banking systems, staff wages and company tax returns etc
* A good working knowledge of Word, PDF, Excel and emails
* A good working knowledge of Social Media Platforms such as Facebook, WhatsApp, Instagram, Twitter etc
* Excellent reporting and writing skills
* Ability to work on one’s own initiative and as part of a team in developing procedures and programmes
* Self‑motivated
* Working knowledge of maintaining and enhancing a busy office filing system
* Ability to attend meeting and seminars to engage in debate and discussion to represent the aims and objectives of the project
* Ability to work flexible hours including evenings and weekends when required to support the development of the project and its programmes
* Knowledge of office administration responsibilities
* Hands on experience with office machines (e.g. printer & scanner)
* A creative mind with an ability to suggest improvements
* Good interpersonal skills
* Good office organisation ability
* Current full driving licence and access to a car OR can demonstrate mobility to carry out the functions of the job effectively and efficiently
