We are seeking an Executive Assistant to provide executive and administrative support to the Managing Director, UC & BI. You will work alongside the MD’s leadership team inclusive of People & Finance Partners. The ideal candidate will thrive in a fast-pace and complex environment and would need to demonstrate adaptability, resilience, with a proactive approach to problem-solving. Previous experience as an Executive Assistant would be advantageous.

 * Understanding of how large-scale functions (e.g. Sales, Operations, Lead Generation, Business Intelligence etc.) operate within a corporate environment.
 * Strong computer literacy, particularly in Microsoft Office
 * Expertise in managing highly complex and changeable schedules
 * High level of accuracy and meticulous organisation.
 * Ability to build strong, trusted working relationships across all levels of the organisation and externally.
 * Exceptional prioritisation and decision-making skills, with the ability to balance competing demands.
 * Ability to handle sensitive and highly confidential information with discretion
 * Willingness and ability to travel between O2 Daisy offices as required.
 * Comfortable with change and fast-paced environments.

As a some of the responsibilities will include:
 * Communication Management: Handle all communications with confidentiality and accuracy, ensuring messages are appropriately redirected and tracked.
 * Event & Visit Coordination: Plan and manage the MDs visits, townhalls, and operational site events, including logistics, technology setup, hosting, and hospitality.
 * Diary Management & Prioritisation: Oversee and prioritise diary arrangements for internal and external meetings, ensuring all commitments are met punctually. Manage travel and accommodation logistics, ensuring the MD is fully prepared for each engagement. Anticipate and adapt to changes in the schedule, rescheduling and addressing conflicts to maintain a seamless workflow.
 * Document & Briefing Preparation: Collate and prepare meeting papers, business updates, and operational briefings in a timely manner, including materials for leadership meetings, ET updates and Board activities where required.
 * Email & Correspondence: Efficiently manage emails, telephone queries, and correspondence, preparing draft responses and dealing with issues as appropriate. Act as the main point of contact for stakeholders, ensuring focused priorities and clear communication.
 * Meeting Support: Take accurate minutes and action points, updating and distributing them to attendees to ensure deadlines are met.
 * Presentation & Reporting: Create professional PowerPoint presentations, Excel trackers, reports, and briefing packs to agreed standards and deadlines.
 * Governance & Compliance: Ensure adherence to corporate governance, promoting consistency and best practices across Operations.
 * Operational Liaison: Act as a liaison on behalf of the MD with external partners, suppliers, regulators, and industry stakeholders as required.
 * Partnership with MDs Leadership Team: Work closely with the MDs Leadership Team, inclusive of People & Finance Partners to ensure delivery of priorities and a smooth operating rhythm.
 * Collaboration with Executive Committee EAs: Partner with other O2 Daisy CRO / ET EAs / PAs to provide cohesive support across the leadership team.
 * Role Modelling: Serve as a role model for within the EA / PA community, demonstrating best practices and fostering collaboration.
 * Documentation & Organisation Charts:Ensure correct filing of the MDs documentation and maintain accurate organisation structure charts for Operations.
