Quality Assurance Coordinator
The Quality Coordinator supports the Quality function by providing administrative and technical assistance to ensure the effective operation and continual improvement of the Quality Management System (QMS).
The role focuses on maintaining electronic document management systems, supporting data management and analysis, and ensuring quality records are accurate, up to date, and compliant with internal procedures and external standards. The position works closely with Quality, Operations, Supply Chain, and external suppliers and customers.
MAJOR ACCOUNTABILITIES
* Administration, maintenance, and update of Electronic Document Management System (Q Pulse)
* Administration, maintenance and update of Quality Module on Sage
* Extract data from Sage for trend analysis for Quality KPIs
* Support CAPA meetings with various departments to progress and close out CAPAs.
* Lead and/or contribute to complaints/deviation investigations, root cause analysis, and report writing.
* Support QMS projects by participating with cross-functional teams to progress and implement new systems and processes
* Maintenance of Supplier Appraisal System and Supplier Risk Assessment
* Data collation to support QMS and 3rd-party/regulatory compliance.
* Work with internal departments to support the satisfactory completion and progress of QMS documents and records to ensure they meet the required standards.
* Providing training on company processes and procedures to all employees.
* Audit guide for on-site 3rd-party audits
* Collate, analyse, and trend quality data (e.g. non-conformances, complaints, supplier performance, KPIs) to support reporting and continuous improvement activities.
* Maintain, update, and control QMS logs, registers, and records, ensuring accuracy, traceability, and compliance with procedures.
* Assist with the review, maintenance, and continuous improvement of quality documentation, including procedures, forms, and records.
* Support internal and external audits by preparing documentation, records, and reports as required.
* Ensure timely and accurate filing, archiving, and retrieval of quality records in line with document control requirements.
* Provide general quality administration support to enable effective issue resolution, corrective actions, and preventive actions.
BUSINESS KNOWLEDGE AND TECHNICAL EXPERTISE:
* Previous experience in a Quality, Compliance, or administrative role within a regulated or manufacturing environment.
* High level of computer literacy, with strong working knowledge of Microsoft Office (particularly Excel) and electronic document management systems.
* Experience using Sage, including the Quality module, or demonstrable experience with similar ERP/QMS systems.
* Experience maintaining electronic quality systems, records, and document control processes.
* Ability to collate, analyse, and trend data and present information clearly.
* Good understanding of Quality Management Systems (QMS) and document control principles.
MANAGEMENT AND LEADERSHIP SKILLS:
* Strong attention to detail with excellent organisational and data management skills.
* To be able to deliver Quality training and presentations at all levels within the organisation.
* Confident communicator, able to work effectively with internal teams and external suppliers and customers.
EDUCATION, TRAINING, EXPERIENCE: Essential
* Educated to minimum 'A' level standard or equivalent in a technical subject (E)
* Experience of ISO 9001 Quality Management Systems (E)
* Experience of Computer-based systems –e.g. Q-Pulse, SAGE X3 (E)
