The role
involves sourcing suitable manufacturers, initiating supplier relationships, and securing quotes or pricing information.
Supply Chain Assistant responsibilities:
1. Examine daily procurement reports for non-franchised items, identify potential vendors, and suggest appropriate purchasing actions.
2. Generate and process purchase orders as per instructions, ensuring all necessary approvals and documentation (e.g., End User statements) are included and forwarded to suppliers.
3. Confirm receipt and accuracy of supplier order acknowledgements, ensuring alignment with requirements.
4. Address any discrepancies in order confirmations with suppliers; if unresolved, escalate to the Supply Chain Manager. Notify the sales team and document issues as necessary.
5. Track supplier delivery timelines, manage any delays, and keep delivery records current and precise.
6. Issue Requests for Quotation (RFQs) to various suppliers to secure optimal pricing and delivery times, while documenting their responses.
7. Help maintain and update the Approved Supplier List with accurate vendor information.
8. Foster strong relationships with suppliers to support efficient and effective supply chain operations.
Skills & experience required:
9. Strong written and verbal communication skills; confident interacting with new contacts and building productive relationships.
10. Detail-oriented and self-driven to complete tasks independently.
11. Competence in using the IQ system to retrieve and analyse procurement information.
12. Analytical mindset with proficiency in using spreadsheets and other data tools for processing and reporting.
13. Skilled in negotiation and assertiveness when engaging with suppliers to ensure timely and accurate deliveries.
14. Effective time management and organizational skills.
15. Structured and systematic in approach to daily responsibilities.
