We are currently looking for a reliable, organised, and proactive Administrative Assistant to join our team, based at our Bedfordshire office.
This is a varied and hands-on position supporting the daily operations, with responsibilities spanning admin, coordination, and operations. You will support multiple teams across the business — including workshop, project management, buying, site teams, and head office functions — while working from a remote office environment. You understand that when operations stall, downtime costs money. Occasional travel to our Kings Cross and North East Lincolnshire facilities will be required, so flexibility is essential.
Key Responsibilities
* Scan, rename, and electronically file delivery notes and job-related paperwork
* Accurately input manual records into digital systems (e.g. timesheets and project data)
* Manage weekly timesheets for site and workshop teams
* Order office supplies, workshop consumables, canteen stock, and PPE
* Book travel and accommodation for team members
* Arrange machine servicing, repairs, and update maintenance schedules
* Oversee sickness and holiday absence tracking
* Complete supplier pre-qualification questionnaires
* Open and set up new credit accounts with suppliers
* Enter new suppliers and projects into costing database
* Provide admin support to the General Manager and HSEQ Manager
* Assist with internal event planning and communications (e.g. photo competition, team meetings)
* Answer all inbound calls
What We're Looking For
* Proactive, organised, and detail-focused — especially under pressure, ready to take complete ownership of the role
* Comfortable working independently in a remote office setting
* Friendly, professional, and confident communicating with all levels
* Competent with Microsoft Office (especially Excel and Outlook)
* Willing to learn new systems, processes, and tools
* Able to travel on occasion to other locations (London and North East Lincolnshire)
Preferred Experience
* Prior admin experience in construction, engineering, or manufacturing is ideal
* Experience handling bookings, timesheets, or supplier accounts is an advantage
* Familiarity with scanning, digital filing, and document management systems
