The Executive Assistant to the CEO will ensure the effective operation of corporate governance structures across Bristol Airport Limited (BAL) and its associated entities by providing strategic and operational support to the Board of Directors. This role is responsible for the coordination and delivery of high-quality Board and Committee meetings, ensuring compliance with governance standards and best practices. Additionally, the role provides proactive, confidential, and executive-level administrative support to the Chief Executive Officer (CEO), while overseeing the Executive Support function to ensure seamless support to the Executive Leadership Team.

PRINCIPAL RESPONSIBILITIES
* Manage the Company Board support function, ensuring compliance with corporate governance procedures and act as a key point of contact for Board members and stakeholders
* Manage complex cyclical arrangements for the Board of Directors and any Committees for BAL and its entities providing end to end support – schedule of meetings, agenda preparation, electronic Board portal in accordance with the Articles of Association
* Manage the Executive Board monthly meeting, agenda preparation process with relevant stakeholders
* Be responsible for producing an accurate record of all Board meetings – producing comprehensive minutes and recording all decisions in accordance with the Companies Act 2006 and The CGI good practice
* Ensure compliance with relevant legislation, regulation and internal policies
* Develop and maintain governance procedures and provide guidance as required
* Maintain the Conflict of Interests, Annual Declarations and Corporate Gifts Registers in accordance with the Companies Act 2006 and Company Policies
* Provide high level support to enhance CEO productivity by taking initiative and anticipating needs, streamlining operations, enabling the CEO to focus on high-impact decision-making and organisational goals for the smooth running of the business
* Manage and implement the onboarding process for new directors, including preparing inductions
* Lead the preparation and manage any visits, engagements and events for the BAL Board/Shareholders and its Committees, including strategy away-days, dinners, training and any other meetings involving executive and non-executive directors
* Manage the Executive Team cycle of strategy and development days
* Maintain Companies House and LEI records for BAL and its entities
* Maintain the SharePoint filing system and Board Portal (Convene)
* Manage and supervise the Executive Support team function (3 direct reports), ensuring effective team collaboration and performance
PERSON SPECIFICATION
Essential
* Educated to degree standard or equivalent business administration or corporate governance experience
* You have extensive and demonstrable experience supporting C-Suite executives, working with Boards of Directors, or similar governing bodies, and/or Company Secretarial roles
* Experience of advising senior leaders of large organisations on competing, varied and fast-changing internal and external priorities
* Excellent judgement and ability to understand and navigate complex and nuanced issues, and ability to respond flexibly in often ambiguous environments
* Ability to think analytically, prioritise and solve problems quickly, e.g. interpret large volumes of rapidly changing information across multiple complex issues at any one time in order to make sound decisions quickly
* Experience of holding people to account – especially in eliciting responses
* You have a strong understanding of corporate governance principles and best practices
* You have excellent written and verbal communication skills
* You have strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
* Exceptional meeting preparation and strong minute taking skills at Board level, with an understanding of the legal requirements

* Knowledge of Generative AI tools to enhance productivity is a plus
