This is a new role in the practice being introduced due to a structural change. It is an exciting opportunity for the right candidate to be involved in all aspects of practice functionality, efficiency, staff management and finances.
The successful candidate will be working closely with the practice manager and nurse manager. The successful person will have their own team of staff to manage, and have a set of their own tasks and responsibilities. The person will be involved in business decisions that the practice makes.
Some experience will be required, but the successful person will be encouraged to complete any appropriate management training, and will also be mentored by a very experienced practice manager and nurse manager.

Main duties of the job
To support the practice manager in all aspects of practicefunctionality, motivating and managing staff, optimising efficiency and overallperformance, ensuring the practice achieves its long-term strategic objectivesin a safe and effective working environment.
The post holder will be a member of the surgery management teamthey will ensure the effective processing of all administrative work andappropriate liaison with the reception and administration team while supportingthe delivery of Local and National KPIs and ensuring the practice complies withCQC regulations.

Job responsibilities
The following are the core responsibilities ofthe Deputy Practice Manager. There may be, on occasion, a requirement to carryout other tasks; this will be dependent upon factors such as workload andstaffing levels.
TheDeputy Practice Manager is responsible for:
a.Supportingthe practice manager in the day-to-day operations of the practice, ensuringstaff achieve their primary responsibilities.
b.Providingleadership and guidance to all staff ensuring that they adhere to policy andprocedure at all times.
c.Overseeingthe administrative elements of QOF, liaising with GPs, nursing staff andadministrators
d.Implementingsystems to ensure compliance with CQC regulations and standards.
e.Reviewingand regularly updating job descriptions and person specifications ensuring allstaff are legally and gainfully employed.
f.Evaluating,organising and overseeing the staff induction programme
g.Assistwith financial management, budgeting and reporting
h.Implementingand embedding an effective staff appraisal process
i.Implementingand embedding an effective practice and staff development plan for all staff(clinical and administrative) whilst maintaining a robust training record
j.Implementingeffective systems for the resolution of disciplinary and grievance issues,maintaining an overview of staff welfare
k.Leadingthe management of the clinical system, ensuring IT security and IG complianceat all times and responding to and resolving all local IT issues
l.Activelyencouraging and promoting the use of patient online services
m.Updatingand acting as the focal point for the practice website and social media sites
n.Guidingstaff and developing searches and audits on the clinical system
o.Reviewingand updating clinical templates ensuring they relate to current practice.
p.Marketingthe practice appropriately to ensure patient population is stable or increasing.
q.Managingcontracts for and highlighting issues with services i.e., cleaning, gardening,window cleaning etc.
r.Guidingthe team to reach QOF targets (supported by the Lead Nurse and Practice Manager)
s.Ensuringthe staff implement the practice wide approach to the management of all patientservices matters.
In addition tothe primary responsibilities, the Deputy Practice Manager may be requested to:
a. Deputise for the PM
b. Lead the management of the Patient Participation Group
c. Implement the complaints process, ensuring complaints are dealt with ina timely manner and, where necessary, escalated to the next level.
d. Ensure all staff are aware of the management of the premises, includinghealth and safety aspects and undertake risk assessments and mandatory trainingas required.
e. Monitor and disseminate information on safety alerts and other pertinentinformation.
f. Support the overall practice clinical governance framework, submittingreports for OQF, enhanced services and other reporting requirements using CQRS etc.
g. Is responsible for guiding the team to reach QOF targets (supported bythe Lead Nurse and Practice Manager)
h. Brief clinicians on performance levels, advising actions to ensure highachievement across all QOF areas.
i. Maintain the significant event database, providing advice to staff andbriefing the team at meetings as required.
j. Identify trends and devise solutions to reduce risk and repeatedoccurrences of significant events.
k. Develop, implement and embed the practice audit programme (inconjunction with the lead nurse)
l. Support the practice manager in the reviewing and updating of practicepolicies and procedures.
m. Support the practice and management team with continuous improvement andchange initiatives.
