Job Summary

The Administrator will play a crucial role in ensuring the smooth operation of our administrative, human resources, and ISO compliance functions. This position requires a detail-oriented individual with strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.

Responsibilities

Administration:

* Manage day-to-day administrative tasks, including correspondence, scheduling, and office management.
* Coordinate meetings, prepare agendas, and take minutes as required.
* Maintain and organise office records and files.
* Handle incoming calls and emails, ensuring prompt and professional responses.
* Assist in the preparation of reports and presentations.

Accounts

* Process accounts payable invoices
* Reconcile vendor statements and resolve any discrepancies
* Maintain accurate records of financial transactions
* Assist with month-end closing activities
* Generate financial reports as needed
* Process & check completed timesheets into Excel
* Provide administration support to the General Manager & Directors as required

Human Resources

* Assist with HR as required.

ISO Compliance

* Ensure the organization complies with ISO standards and regulations.
* Coordinate internal and external audits and implement corrective actions as needed.
* Maintain and update ISO documentation and records.
* Monitor and report on ISO compliance metrics and performance indicators.
* Collaborate with department heads to implement and improve ISO processes.
* Stay updated with changes in ISO standards and communicate these changes to relevant stakeholders.

Qualifications

* Experience in Business Administration, Human Resources, or a related field.
* Proven experience in administrative, HR, and ISO compliance roles.
* Strong organizational skills and attention to detail.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite and HR software.
* Knowledge of ISO standards and compliance requirements.
* Ability to handle multiple tasks and prioritize effectively.
* Strong problem-solving skills and a proactive approach.
* Ability to maintain confidentiality and handle sensitive information.
* Xero Software beneficial.
* Strong Excel background.

Preferred Qualifications

* Certification in HR or ISO compliance.
* Experience with ISO 9001, ISO 14001, or other relevant ISO standards.
* Familiarity with HRIS systems and recruitment platforms.
