Key Responsibilities Manage complex calendars, schedule meetings and coordinate logistics to optimise leaders’ time. Arrange domestic and international travel, including itineraries, visas, accommodation and expense reconciliation. Prepare, proofread and distribute high‑quality correspondence, briefing notes and presentations; ensure timely follow‑up on action items. Plan and support executive meetings and events (agendas, venue/virtual setup, minutes, actions and documentation). Serve as a confidential gatekeeper and primary contact for internal and external stakeholders, screening communications and prioritising requests. Coordinate cross‑functional activities and stakeholders to drive timely delivery of initiatives and decisions. Maintain accurate records, filing systems and document control for sensitive and confidential information. Support budgeting and expense processes for the leadership team, ensuring compliance with policies. Anticipate needs, provide ad‑hoc executive support and problem‑solve to reduce administrative barriers for leaders. Foster positive relationships across the organisation to facilitate collaboration and information flow. Liasing with suppliers on behalf of executives. Monitoring inboxes. Supporting with wider teams. Onboarding new team members (inductions/intros, creating information packs).
