MS Nurse Specialist Secretary

Provide excellent secretarial and administrative support for a team of MS specialist nursing professionals within Neurology. Responsibilities include ensuring all clinic letters are typed after patient attendance, updating blood monitoring databases, completing forms and sending out letters to patients to arrange blood tests, collaborating with the DMT Coordinator to avoid delays in treatment plans, managing nursing notes and correspondence for clinic readiness, handling enquiries from internal and external parties, audio‑typing correspondence, dealing with outpatient queries, covering for other secretaries, working closely with consultants, nurses and the DMT admin team, using the Trust EPR system, and assisting with training new or less experienced staff.
Responsibilities
* Provide secretarial and administrative support to the MS specialist nursing team within Neurology.
* Ensure all clinic letters are typed following patient attendance.
* Update blood monitoring databases and send out letters for patient blood tests.
* Co‑operate with the DMT Coordinator to eliminate treatment plan delays.
* Maintain nursing notes and correspondence for outpatient clinics.
* Respond to internal and external enquiries.
* Audio‑type various correspondences.
* Handle outpatient queries and ensure information availability for MS nurses.
* Cover for other secretaries within the Specialist Nursing Teams.
* Collaborate with Consultants, Nurses and DMT admin team to ensure treatment plans are in place.
* Use the Trust EPR system effectively.
* Assist in training new or less experienced staff.
Qualifications
* GCSE level education including English and mathematics at grades C/4 or above (or equivalent).
* A‑level standard of education or equivalent.
* I.T. qualifications such as NVQ level 2 or above or EDCL.
* Typing qualifications such as RSA Stage 2/OCR level 3 or above.
Experience
* Familiarity with out‑patient healthcare services.
* Experience using patient administration systems or similar databases.
* Experience using Microsoft Office.
* Track record of achieving deadlines and targets.
* Experience communicating directly with service users/customers, carers and relatives face‑to‑face and over the phone.
* Track record of working with targets.
* Evidence of developing and maintaining effective working relationships with a variety of people and professionals.
* An awareness of the challenges currently facing the NHS.
* Relevant NHS experience.
* Experience working within Neurosciences or the Head & Neck Care Group.
* Experience using Lorenzo and other Trust I.T. systems.
* Audio typing and transcription experience.
* Minuting‑taking experience.
Further Training
* Evidence of further job‑relevant education and training.
* Attendance at relevant STH courses (e.g. managing attendance, capability, conduct and/or conducting appraisals).
* Customer care / service training.
Skills
* Awareness of STH Trust policies and procedures.
* Excellent written and verbal communication skills.
* Strong spelling and grammar.
* Excellent interpersonal skills encompassing teamwork and customer service.
* Highly developed organisational skills, including multitasking.

* Ability to work on a computer monitor/VDU for extended periods.
* Knowledge of STH waiting‑list policies, including out‑patient targets.
* Understanding of clinical governance, risk assessment and incident investigation.
* Familiarity with medical terminology.
* Demonstrable leadership skills.
Other Factors
* Willingness and ability to travel to other hospital sites when required.

Salary
£25,760 to £27,476 per year (pro‑rata for part‑time staff).
