Keenan Recruitment is delighted to be partnering with a well-established and growing professional services organisation in Newtownards to recruit an experienced Office Co-Ordinator & Receptionist.
This is an excellent opportunity to join a friendly, supportive and forward-thinking team where you will play a key role in the smooth day-to-day running of the office. The successful candidate will be one of the first points of contact for clients and visitors, whilst also providing valuable administrative support across a range of business functions.
This varied position would suit a highly organised, personable and proactive individual who enjoys working in a busy office environment and takes pride in delivering excellent customer service.
The Role
As Office Co-Ordinator & Receptionist, you will be responsible for a broad range of administrative and front-of-house duties, including:
Reception & Client Support
1. Welcoming clients and visitors in a professional and friendly manner
2. Managing incoming calls and directing enquiries appropriately
3. Monitoring and managing shared email inboxes
4. Ensuring messages and communications are passed promptly to the relevant team members
5. Providing a professional and welcoming front-of-house experience
Office Administration
6. Managing incoming and outgoing post
7. Scanning, filing and maintaining electronic records
8. Supporting document management and internal filing systems
9. Ordering office supplies and stationery
10. Assisting with general office administration and organisational tasks
Client & Compliance Administration
11. Supporting client onboarding processes
12. Assisting with Anti-Money Laundering (AML) checks and compliance procedures
13. Liaising with external agencies and stakeholders where required
14. Assisting with statutory and regulatory administration
15. Supporting client account setup and maintenance activities
16. Managing client correspondence and documentation requests
Operational Support
17. Arranging appointments and meetings
18. Assisting with meeting preparation and administration
19. Taking notes and minutes when required
20. Supporting team events and business activities
21. Providing additional administrative support to management and colleagues
About You
To be successful in this role, you will demonstrate:
22. Previous office administration experience
23. Excellent communication and interpersonal skills
24. Strong organisational skills and attention to detail
25. The ability to prioritise workload and manage multiple tasks effectively
26. A professional and confident approach when dealing with clients
27. A proactive and positive attitude
28. The ability to work independently and as part of a team
29. High levels of discretion and confidentiality
30. Good working knowledge of Microsoft Office, including Outlook, Word and Excel
31. A willingness to learn new systems and processes
Experience within a professional services, accountancy or client-focused office environment would be advantageous but is not essential, as full training will be provided.
