The Executive Assistant provides high level, confidential and proactive support to the Management Team. This role ensures leaders are fully prepared, informed and positioned to deliver their responsibilities effectively. The EA acts as an organisational anchor - coordinating priorities, streamlining workflows and enhancing executive impact through excellent communication, planning and presentation preparation.


Key responsibilities


1 Executive Support & Diary Management


• Manage complex, demanding calendars across multiple executives.

• Prioritise meetings based on strategic importance, urgency and business impact.

• Coordinate internal and external appointments with accuracy and discretion.

• Anticipate diary conflicts and resolve issues before they arise.

• Ensure all logistics - meeting rooms, technology, materials - run smoothly.


2 Meeting Coordination & Leadership Support


• Prepare agendas and briefing materials for management meetings.

• Collate updates from teams to ensure leaders receive concise, relevant information.

• Record, distribute and track meeting actions with clear accountability.

• Support leadership with follow-up communications and workflow management.


3 Presentation & Document Preparation


• Produce polished, on brand presentations for internal leadership forums, clients, and board-level audiences.

• Create slide decks with clear narrative flow, strong visuals and concise messaging.

• Consolidate contributions from departments into coherent, high quality materials.

• Draft talking points, speaker notes and summaries for executives.

• Ensure all documents reflect organisational tone of voice and brand guidelines.


4 Communication & Information Management


• Act as an effective liaison between the management team, wider business and external stakeholders.

• Draft and proof emails, statements and updates on behalf of leaders.

• Handle confidential information with the highest integrity and judgement.

• Manage inboxes, prioritising critical communications and responding on behalf of executives where appropriate.


5 Operational & Administrative Excellence


• Organise travel, itineraries, accommodation and supporting documentation.

• Manage expenses, approvals and administrative workflows.

• Maintain accurate digital filing systems and records.

• Support compliance with governance, policy and internal processes.


6 Project & Task Coordination


• Assist with planning, tracking and reporting on leadership initiatives.

• Coordinate cross functional tasks, ensuring deadlines and expectations are met.

• Prepare summaries, status updates and briefing notes for executives.

• Identify issues early and escalate as needed.


7 Stakeholder & Relationship Management


• Build strong relationships across the organisation and with external contacts.

• Represent the leadership team professionally at all levels.

• Support VIP visits, events, client engagements and senior meetings.


8 Anticipation & Strategic Insight


• Proactively identify needs, gaps and opportunities to support leadership priorities.

• Understand the business context to ensure executives stay aligned with objectives.

• Offer sound judgement, solutions and organisational intelligence.


What you will bring to the role

• Advanced PowerPoint capability and strong proficiency across Microsoft 365.

• Outstanding organisation, prioritisation and attention to detail.

• Strong judgment, discretion and ability to handle sensitive information.

• Ability to work at pace, manage multiple tasks and adapt to changing priorities.

• High emotional intelligence with confidence interacting across all levels.


2 Experience


• Proven experience supporting senior leaders or a management team.

• Demonstrated ability to prepare high quality presentations and executive level materials.

• Experience managing complex diaries, meetings and workflows.

• Strong background in a professional, corporate or fast paced environments.
