Truline Fleet & Reporting Administrator
Truline is seeking a highly organised and detail-oriented Fleet & Reporting Administrator to join our team. In this pivotal role, you will be the backbone of our administrative and information systems, ensuring seamless operations and providing crucial support to our senior management, regional transport managers, and external customers.
Objective:
To implement and maintain comprehensive, effective administrative and information systems that meet the team/business-specific requirements. To provide central support to Truline Senior Management, Regional Transport Managers, transport hubs, and external customers. The central support function will be key to delivering operational service across the network.
Key Responsibilities:
1. Data Management & Reporting:
o Update databases and internal systems with accuracy and efficiency.
o Produce daily performance reports, management reports, and assist with Key Performance Indicator (KPI) production.
o Monitor and report on fuel usage, including Fuel Card control.
o Process on-hire and off-hire documentation for fleet reconciliation, ensuring accurate records and cost control.
o Maintain accurate insurance records and assist with claims processing as required.
2. Communication & Supplier Liaison:
o Distribute communications effectively across the network.
o Liaise with suppliers to meet customer requirements.
o Follow up and provide feedback to line managers on supplier performance.
3. Administrative Support:
o Produce and maintain spreadsheets with precision.
o Identify and support process changes, including document reviews.
o Support day-to-day transport administration activities, including RTI, NoIP, PCN collation and reporting, insurance documentation, and O Licence compliance.
o Provide comprehensive document management support (photocopying, scanning, printing, legal compliance).
o Handle telephone queries and resolve issues promptly.
o Manage costings and reconciliations.
o Perform any other duties as required by management.
