Nucleate is a global and trainee-led non-profit, dedicated to democratising biotech education, empowering the next generation of bioentrepreneurs, and fostering a collaborative ecosystem to fuel innovation in life sciences.

In the UK, Nucleate has supported 31 teams through the Activator programme, helping them challenge, validate and fund their scientific ventures, targeting major health and sustainability problems. Since last year, 8 companies have been successfully incorporated, raising over $10 million, while more are expected to follow from the current cohort. The Nucleate UK x ARIA Partnership

Job Description

As Operations Specialist, you will build and maintain the systems that power Nucleate UK’s ARIA partnership. This role spans the development of internal platforms, oversight of financial operations, and implementation of scalable processes that support the coordination of the team and the execution of our programme. You will collaborate closely with the Director of ARIA Partnership, the Director of Finance, and the Nucleate leadership base to ensure operational excellence across different initiatives.

Key Objectives

Platform Development:

* Design, implement, and maintain operational platforms and systems that enable the smooth delivery of the Activation Partnership.
* Oversee and manage internal databases, ensuring data integrity and accessibility for reporting and decision-making.
* In collaboration with the Director of Community and the volunteer team, build and maintain digital infrastructure for marketing, communication, and engagement (e.g. newsletters, social media, CRMs).
* Support fellows in developing datasets, templates, and other tools that feed into the wider objectives of the fellowships
* Provide logistical and operational support across programmes such as the Activator, the Hackathons and others, including scheduling, communications, and support with impact reporting.
* Develop the national operational budget in coordination with UK National Heads and the Global Director of Finance.
* Lead budgeting, forecasting, and financial reporting to support informed decision-making and compliance.
* Manage vendor contracts, expense processing, and payroll for the UK team, ensuring alignment with grant requirements and Nucleate’s internal policies.
* Collaborate with the Global Finance team to maintain accurate financial records and ensure timely delivery of reporting materials.
* Prepare financial documentation for grant milestones, audits, and internal performance reviews.

Organizational Management:

* Work with the Director of ARIA Partnership to:
* Develop and maintain internal SOPs for team coordination
* Create and implement tools that streamline onboarding, training, and volunteer engagement.
* Ensure documentation and workflows are scalable and adaptable as Nucleate UK grows.

Outcomes

By the end of the partnership, you will have built the operational infrastructure that enabled Nucleate UK to deliver a high-performing national program. Your work will have ensured financial accountability, smooth program execution, and effective data systems to track and report impact. Through your efforts, Nucleate UK will have operated with clarity, coordination, and compliance helping connect biotech innovators to critical opportunities and accelerating the growth of the UK’s biotech ecosystem.

Qualifications/Skills

* Proven experience in operations, finance, project management, or a related function, ideally in a startup, nonprofit, or academic environment
* Strong organizational, problem-solving and time management skills, with the ability to manage multiple workstreams and deadlines independently
* Experience managing budgets, financial reporting, or grant compliance processes
* Strong preference for proficiency with digital tools and platforms (e.g. CRMs, Airtable, Notion, Luma, GSuite)
* Excellent communication and collaboration skills
* Experience supporting events, programs, or community initiatives is a bonus but not required

Key Information:

Salary Range: £40,000 - £50,000 per year

Location: Hybrid with weekly attendance to London offices
