About the role
We’re looking for a highly organised and detail-oriented Commercial Admin Assistant to support the day-to-day administration of our company fleet. This role plays a key part in ensuring accurate fleet records, smooth vehicle movements, and compliance with lease, insurance, and servicing requirements.
Working closely with Fleet Managers, the People Team, and Procurement, you’ll provide vital administrative support that helps keep our operations running efficiently and compliantly across the business.
This is a hybrid role, with a combination of office-based and remote working.
Fleet administration & systems
14. Manage the Fleet Administration inbox, allocating queries and responding within agreed timescales.
15. Maintain the fleet management system, including adding new vehicles and processing de-fleets.
16. Ensure accurate and timely data entry to support reporting and compliance.
17. Reconcile month-end in-fleet and de-fleet activity to ensure accurate start-of-month figures.
18. Upload and store vehicle contracts, order forms, and supporting documentation within fleet systems.
19. Carry out spot checks between internal fleet systems and the Motor Insurance Database (MIB).
Vehicle logistics & coordination
20. Coordinate vehicle deliveries and collections within agreed timescales.
21. Proactively chase overdue deliveries and escalate issues where required.
22. Liaise with Regional Fleet Managers regarding upcoming deliveries, collections, and de-hires.
23. Request and process vehicle contract extensions and update systems accordingly.
24. Liaise with suppliers monthly to ensure delivery plans remain on track.
Compliance, servicing & risk
25. Support Fleet Managers to ensure servicing and MOTs are completed in line with lease and manufacturer requirements.
26. Monitor servicing schedules to ensure warranties remain valid.
27. Act as the first point of contact for Penalty Charge Notices (PCNs) in the Steer South region, including managing escalations and appeals.
28. Work with the People Team to ensure driving licence checks are completed and up to date.
Collaboration & support
29. Provide ad-hoc administrative support to the Procurement Team.
30. Build effective working relationships with internal stakeholders to support smooth fleet operations.
About you
Essential
31. Strong attention to detail with accurate data input skills.
32. High level of competence in Microsoft Excel and the wider Microsoft 365 suite.
33. Excellent communication, organisational, and time management skills.
34. Proven ability to meet deadlines and manage multiple priorities.
35. Comfortable working under pressure and adapting to changing demands.
36. Able to work independently with minimal supervision, as well as part of a team.
37. Confident decision-maker with good judgement.
Desirable
38. Previous experience in fleet administration or a similar operational admin role.
Additional skills & future focus
39. A high level of competence in Excel and data analytics would be highly beneficial. As the business moves towards deeper insight into fleet utilisation and performance, we’re keen to attract individuals with a strong analytical mindset alongside excellent administrative skills.
