Role: Executive Assistant
Location: Ipswich/London (Hybrid working available)
Key Responsibilities
• Diary & Meeting Management
1. Manage the calendars of the COO and Head of Operations, scheduling internal and external meetings, including governance forums and committee sessions.
2. Prepare agendas, coordinate logistics, and ensure timely distribution of meeting materials.
3. Attend key meetings to capture minutes and follow-up actions.
• Governance & Reporting Support
4. Assist in the preparation and collation of governance packs, including minutes, action trackers, and regulatory submissions.
5. Liaise with committee secretaries and stakeholders to ensure timely updates and compliance with governance protocols.
• Communication & Liaison
6. Act as the first point of contact for the COO and Head of Operations, handling correspondence with professionalism and confidentiality.
7. Coordinate communications between leadership and internal teams, clients, and external partners.
• Team & Project Support
8. Provide administrative and coordination support to the wider operations team.
9. Support COO-led and Head of Operations-led initiatives, including transformation programmes, operational reviews, and strategic planning.
10. Track progress on key deliverables and escalate issues where necessary.

11. Maintain accurate records, filing systems, and document management aligned with company standards.
12. Process expenses, travel arrangements, and other administrative tasks efficiently.
