All about the Role
The purpose of this role is to provide a friendly and welcoming initial point of contact to the Eco Innovation Centre. The receptionist will deliver an efficient and effective information service focused on customer needs and ensure effective and creative solutions are offered to each customer, guaranteeing a high-quality reception service.
In this role, you'll be responsible for delivering an efficient and effective information service that focuses on the needs of our customers. You'll handle all callers to reception, including external customers, contractors, and staff members, with warmth and professionalism. Your duties will include booking and signing in visitors for meetings and contractors for onsite works, preparing meeting rooms according to booking requirements, and ordering catering and room supplies as needed.
You'll support our physical and virtual tenants with mail handling and forwarding, log repair and maintenance calls to the Property Helpdesk, and conduct daily open and closing checks throughout the building. You'll manage the Reception mailbox, ensuring queries are responded to promptly, and oversee fire evacuation procedures and weekly Fire Marshall checks.
As a Receptionist, you'll update notice boards and displays, maintain accurate written records, and ensure all callers are dealt with speedily, effectively, and courteously. You'll manage the meeting room booking system for the Council, support income generation, and assist the Estates and Facilities Management team with data inputting and other administrative duties.

The receptionist role falls within the wider Estates and Facilities Management Team. Receptionist roles are currently provided for at Eco Innovation Centre and the Town Hall.
The Estates and Facilities team currently comprises 19 people across multiple disciplines all of who provide support in various ways across the Council's property portfolio.
